Wilson Construction Co. has an opening at our Headquarters in Canby, Oregon for an Administrative Assistant with a positive, can-do attitude!
This position will work under the direction of the Assistant Office Manager, to support our headquarter and field offices in administering our cell phone and fuel card accounts:
Responsibilities:
•Issuing cell phones and fuel cards;
•Monitoring / maintaining plans of cell phones;
•Maintaining vendor accounts to ensure accounts/reps are effectively supporting our needs;
•Analyzing / tracking usage of cell phones and fuel cards to ensure company policy is followed; assisting in educating staff on company policy;
•Coding cell phone and fuel card charges to appropriate job;
•Tracking and matching receipts of charges to cell phone and fuel card invoices;
•Following up with staff to ensure all documentation for cell phone and fuel card charges is received timely;
•Troubleshooting fuel card issues;
•Maintaining various spreadsheets containing issued cell phones and fuel cards;
•Answer and direct phone calls appropriately on a multi-line phone system;
•Greet and direct visitors and employees in a friendly manner; and
•Administrative support to all departments, as needed.
This position is also the back up to the Front Desk Receptionist and will be responsible for partial coverage on a daily basis.
Requirements:
•1-2 years’ experience in a professional office setting;
•Proficiency in Excel/Outlook, 10-key;
•Must have iPhone experience;
•Ability to work in a fast-paced environment;
•Excellent organizational skills;
•Excellent multi-tasking skills;
•Familiarity with standard office protocol and office equipment;
•Effective communication and ability to work with various types of staff;
•Friendly demeanor with a positive attitude;
•Flexibility and willingness to help and support others;
•Willingness and ability to learn new tasks;
•Reliable and dependable; and
•Task and time management skills with the ability to handle a fluctuating workload.
Ideal candidates will be team oriented, and have excellent organizational and multi-tasking skills to be able to handle frequent interruptions and changing priorities. Being able to communicate effectively and follow up assertively with a positive attitude is essential in this position.
