ADMINISTRATIVE ASSISTANT JOB DESCRIPTION
I. JOB SUMMARY:
EC Babbert Inc. is currently looking for a dedicated, diligent, efficient and well-organized Administrative Assistant. Primarily, the nature of the tasks and obligations performed for this position involves direct assistance to the Service Department including but not limited to customer maintenance, invoicing and tracking of county requirements for grease and septic services. Other duties outside the service department will also be required.
II. PRINCIPAL DUTIES AND RESPONSIBILITIES:
•Answer and transfer phone calls.
•Frontline person for welcoming customers, vendors and other visitors
•Routinely check emails from customers and employees and answer them in a timely manner
•Open mail and disburse accordingly
•Create, send and post invoices daily
•Create new work orders for pumping and lift station service customers daily
•Maintain hard copy files for service orders, work tickets and invoices
•Update annual pumping report daily
•Update monthly tank installation report daily
•Prepare and send monthly septic tank delivery/installation reports to all applicable counties
•Prepare and send the monthly Fairfield County pumping report to Fairfield County Health Department
•Prepare quarterly pumping report to the City of Canal Winchester
•Mail jet inspection reports to all counties monthly
•Assist service manager with creating documents, reports, quotes, computer issues and correspondence
•Create monthly pumping and lift station inspection service schedule and update daily
•confirm production reports from both plants match Titan and post daily
•Record production figures and print reports for files
•Report production product component quantity warnings and request adjustments prior to posting production
•Receive product quantity warning notifications, make appropriate adjustments, post and notify requestor upon completion
•Obtain COIs from insurance company and maintain COI customer list
•Prepare notice of furnishings and send via certified or regular mail
•O btain completed credit applications and tax exemption certificates for new service customers
•Follow up on delinquent accounts
•Perform basic administrative tasks which are directed by his/her immediate supervisor.
III. OTHER SKILLS REQUIRED
•Experience with Microsoft Office 365, Word and Basic Excel
•Comfortable with the training and learning of new software
•Basic Accounting knowledge is preferred
•Ability to work as a team and accept working with diverse personalities
•Maintain updated, organized files
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
