Job Description:
Montoya Electric LLC seeks a detail-oriented and proactive Administrative Assistant with a strong aptitude for financial tasks to join our team. This role will provide comprehensive administrative support, with a key focus on invoicing, payment recording, and basic accounting duties. The ideal candidate will possess excellent organizational and communication skills, meticulous attention to detail, and the ability to manage multiple tasks efficiently. We are looking for individuals who are natural problem solvers, self-motivated, and adaptable, with a keen interest in learning financial processes.
Key Responsibilities:
Financial Duties (Emphasis Added):
Primary responsibility for generating and sending invoices to clients.*
Accurately record payments received and maintain detailed financial records.*
•Assist with basic bookkeeping tasks, including tracking project expenses.
•Assist with reviewing timesheets and schedule accuracy in preparation for Supervisor to process payroll.
Office Management:
•Maintain an organized and welcoming office environment.
•Order and manage office supplies and equipment.
•Coordinate office maintenance and repairs.
Administrative Support:
•Handle phone calls, emails, and other correspondence.
•Schedule and coordinate meetings, appointments, and projects.
•Prepare and distribute meeting agendas, minutes, and other documentation.
•Assist in the preparation of reports, presentations, and other materials.

Customer Service:
•First point of contact with customers.
•Take notes and intakes of customer inquiries.
•Address customer inquiries and concerns promptly and professionally.
•Maintain customer records and update information as needed.
Project Coordination:
•Support project managers with administrative tasks related to ongoing projects.
•Maintain project files and documentation.
•Track project timelines and deadlines.
•Confirm and publish schedules for employees.
HR Support:
•Assist with onboarding new employees, including preparing new hire paperwork.
•Maintain employee records and assist with HR-related inquiries.
Qualifications:
•High school diploma or equivalent; additional qualifications in accounting or related fields are a significant plus.
•Demonstrated experience or strong interest in invoicing, payment processing, and basic accounting tasks is highly preferred.
•Proficient in MS Office (Word, Excel – especially for financial tracking, PowerPoint).
•Proficient in Google Suite.
•Excellent organizational and time-management skills.
•Strong written and verbal communication skills.
•Ability to work independently and as part of a team.
•Bilingual in Spanish/English is a must.
•Skills demonstrating cultural competency are a plus.
•Experience in the electrical or construction industry is a plus, but not required.
