JOB DESCRIPTION: Administrative & Accounting Assistant

Job Summary:
To provide financial, clerical and administrative services to ensure efficient, timely and accurate data is entered, quality customer service and administrative support.
Essential Functions:
•Answering Phones; activating/deactivating Night Service forwarding
•Data Entry – i.e. invoices.
•Prepare financial reports
•Assist President with projects as needed
•Assist Compliance Manager as needed
•Mail & Post office runs as needed
•Prepare and take mail daily
•Filing; makes copies; sends and receives faxes; scanning and associating documents
•Order uniforms and name badges for staff
•Maintain fax, credit card
•Keep reception area neat and clean
•Run various errands, as needed
•Assist Executives and all department Heads as needed
•Participates in afterhours phones program to dispatch technicians and first responders
•Represent the company professionally at all times
•Create lasting impressions with our clients and differentiates us from our competition
•Demonstrate company services knowledge
•Follow industry standards for assigned jobs
•Ensure customer’s satisfaction before leaving the jobsite
•Perform other duties as needed or assigned

Knowledge, Skill, and Experience:Minimum education (or substitute experience) required
•High School Diploma or GED
•3+ years directly related experience.
Preserred education
•Certificate in Accounting
Minimum experience required
•Ability to Pass a Background Screening
•Ability to Pass a Drug Screening
•Knowledge of ServiceMaster Corporate Objectives
•Maintain a Neat and Clean Appearance
•Type 55 words per minute.
•Complete knowledge of G/L, A/P, A/R, Microsoft Word, Excel.
•Skilled on 10 key calculator.
•Recognize and Practice Safety Standards at all times
•Exude "A" Player attitude and tendencies at all times
•Able to follow directions and quickly adapt to changing job environments
•Document and record all data accurately and quickly
•Follow company standards of service.
COMPETENCIES
•Outstanding communication skills
•Software and technical knowledge and competencies (navigate software, use iPhone, Microsoft etc.)
Required Testing:
•Drug and alcohol screen after a contingent offer of employment has been made.
Clearances:
•Criminal background investigation and ability to be bonded after a contingent offer of employment has been made.
Financial Responsibility and Authority: Equipment
This role routinely uses standard office equipment such as laptop computers, smartphones, office phones, fax machines, postage machines, ten-key calculators, etc.
Supervisory
This position has no supervision responsibilities.
Physical Job Description: Typical Working Conditions:
Majority of work performed in a professional office environment, with some work being performed in a warehouse, as well as out in the field at customer locations on occasion.
Equipment Used:
Computers, smartphones, printers, copiers, scanners, office phones, fax machines, time systems, projectors, postage machines, ten-key calculators.
Essential Physical Tasks:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, standing and walking to give presentations, or to traverse from office to warehouse to meeting room, or out to a jobsite is also required.
Some filing is also required. This would require the ability to lift files, open filing cabinets, and bend as necessary.
