Accounts Receivable & Payable Specialist

Overview

We are seeking a full-time detail-oriented and organized Accounting Assistant to join our finance team. The ideal candidate will support daily accounts payable, accounts receivables and inventory transaction processing. This role is essential for maintaining the integrity of our financial data and assisting with various accounting tasks.

Responsibilities

- Reviews & verifies invoices and payment requests for accuracy and proper approval.

- Receives material, comparing quantities and pricing to the purchase order/vendor invoice.

- Enter and process invoices into the accounting system.

- Reconcile accounts payable transactions and vendor statements.

- Responds to vendor inquiries and resolves discrepancies in a timely manner.

- Coordinates with sales team and vendors to resolve purchase order/invoice mismatches.

- Generate and send accurate invoices to customers on a timely basis. Will check invoice pricing with customer purchase orders/quotes.

- Monitor accounts and ensure payments are received according to terms.

- Performs follow-up on overdue accounts by phone or email.

- Applies incoming payments to customer accounts and reconcile discrepancies.

- Maintains and updates customer records in the accounting system.

- Collaborates with the sales and customer services team to resolve billing and payment issues.

- Processes credit applications and perform credit checks as needed.

- Receives packing slips into the system comparing pricing to vendor invoices if available.

- Make inventory adjustments as needed.

Knowledge & skills:

- Two years of accounting experience performing accounts receivable/payable.

- Proficiency in accounting software and Microsoft office.

- Prior work experience with a manufacturers a plus!

- Experience in data entry with a high level of accuracy and attention to detail.

- Excellent organizational skills to manage multiple tasks effectively within deadlines.

- Strong communication skills to work collaboratively with team members and other departments.

- A basic understanding of inventory concepts.

Pay: $24.00 - $26.50 per hour
