Job Summary
We are seeking a detail-oriented, organized experienced Parts and Service Administrator to oversee parts management, procurement, and inventory control within our maintenance department. This role is vital in ensuring the smooth operation of maintenance activities, supporting the maintenance dept., and maintaining strong supplier relationships. The ideal candidate will possess a strong background in truck parts, scheduling repairs, and computer systems, with a focus on optimizing parts inventory.
- Manage inventory levels for maintenance parts, ensuring accurate stock levels through data entry and inventory control systems.
- Coordinate ordering activities, including sourcing parts, negotiating pricing, and managing supplier relationships to secure quality parts at competitive prices.
- Utilize CMMS and order management systems to track parts orders, monitor delivery schedules, and update inventory records.
- Oversee shipping & receiving processes to ensure timely receipt of parts and proper documentation.
- Support demand planning by analyzing usage trends and forecasting future parts needs to prevent shortages or overstocking.
- Collaborate with service technicians, and other internal departments to fulfill parts requests efficiently.
- Maintain detailed records of procurement activities, supplier performance, and inventory movements.
- Assist tasks including organization, safety compliance, and equipment repair coordination such as heavy equipment maintenance and certification inspections.
- Provide service support by addressing internal inquiries regarding parts availability and order status.
- Drive company pickup to pick up ordered parts
- Proven experience in parts inventory management.
- Strong knowledge of parts sourcing for truck and heavy equipment repair processes.
- Experience in scheduling repairs, data entry, and parts purchasing a must
- Familiarity with computer systems , CMMS software, and order management systems.
- Experience working in a truck repair shop
- Excellent sourcing and negotiation skills with suppliers to optimize pricing and demand planning strategies.
- Ability to perform data entry accurately while managing inventory control processes efficiently.
- Strong organizational skills with the ability to handle multiple priorities in a fast-paced environment.
