Summary

Under the direction of the Operational Controller, this Shared Services Supervisor, is responsible for the supervision of Payroll & Billing Administrators. The incumbent has overall responsibility for the efficient and accurate processing of payroll time entry into the Dayforce payroll system for hourly employees. The Supervisor, Site Administration, is to conduct all activities in a manner that supports the mission, vision, and values of the Fort McKay Group of Companies LP.

This is a safety-sensitive position that requires completion of pre-employment/pre-access testing.

Key Focus:

- The incumbent is responsible for training, planning, organizing, reviewing, supervising, and evaluating the work and performance of assigned staff.

- Supervise, develop, mentor, and coach the site administration team. Conduct performance appraisals and provide required reinforcement and feedback.

- Responsible for maintaining all time entry procedures, work instructions and quick reference documents.

- Responsible for ensuring the site payroll administrators are well trained and knowledgeable on DayForce Time Entry Processes, procedures, pay policies, holiday policies, shift rotations, and pay adjustments codes.

- Maintains work instructions on daily reconciliation processes between source document, Dayforce time entry and client billing. Ensure the team is trained and complies with all reconciliation processes that leads to accurate time entry of employee hours on a daily basis.

- Support Cost Analysts in performing reconciliations between Billing and Payroll.

- Authorizes the Daily Time Entered after verifying that Operations Payroll Admins have reconciled the DayForce Time Entry to the Source Documents.

- Liaise with Human Resources, Payroll and Corporate as required, ensuring proper process is followed regarding time-entry, work force management configuration, updates, and ad hoc reporting.

- Stay abreast of changes that are coming up in the organization. Translating new contracts, Alberta Labour Standards, other organizational changes which impact pay policies, shift schedules into training and work instructions that will support time entry and billing.

- Identify issues from other departments that are impacting the site admins doing their job and escalating them to senior management.

- Perform any related and/or additional duties as assigned.


Knowledge and Skills Required:

- Completion of a High School Diploma, or a GED equivalent is required. Candidates with post-secondary education in Business, Office Administration, Accounting, or a Payroll background are preferred.

- A valid Class 5 License (or equivalent) is required, along with a satisfactory 3-year Drivers Abstract.

- Candidates with a Payroll Compliance Practitioner (PCP) would be an asset.

- Knowledge in MS Office, specifically Word, Excel, and Outlook is required. Experience in SAP and/ or Ceridian Dayforce is preferred.

- At least 5+ of experience in a supervisory capacity in an administrative support environment is preferred. Candidates with experience in a site environment, in an Oil/Gas, Logistics, and/or Transportation environment is an asset.

- Very strong attention to detail is required, along with strong organizational skills such as multi-tasking, set and reset priorities.

- Effective communication, negotiation, and interpersonal skills, including excellent oral, written communication, and listening skills.

- Strong ability to manage a heavy workload in a dynamic, fast- paced environment with conflicting priorities.

- Strong understanding of Employment Standard and FMGOC Contracts as it related to billing and payroll.

- Capable of developing and maintaining constructive and co- operative working relationships with co-workers, management, and company associates.

- Demonstrates continuous learning through cross-training, learning new skills, and refreshing prior skills.

- Must have strong analytical, problem solving, and critical thinking skills.

- Be alert to external factors that can impact compliance and be responsive to ensure prompt action to address.

- Ensure that your team is cross trained on multiple sites.

This is a TEMP position located in Fort McMurray, AB, in the FMGOC satellite office.

Work Schedule: Monday to Friday- 8 hours/ day.
