Overview:

PURPOSE STATEMENT:

Performs first-line supervisory duties in planning, organizing, coordinating and directing Kauai business office activities; performs various administrative duties.


Responsibilities:


ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

- Responsible and accountable for the supervision of office activities at the Kauai Business Unit. Prepares recommendations for policy, procedures, control, or action and implements same. Recommends personnel actions regarding the hiring and firing of staff and effectuates same in collaboration with the General Manager and V.P. Human Resources. Reviews work requirements and where necessary collaborates with the General Manager to plan and prioritize work assignments and projects.

- Supervises and coordinates business office activities and workers engaged in the following:

- Customer requirements regarding appliance/gas system service request, meter reading, billing, credit and collection, propane delivery scheduling, etc.

- Business requirements relating to the receipt and processing of payments, collections, scheduling tanker and cylinder routes, inputting, maintenance and application of computer data, coordinating with Customer Relations and other departments as appropriate, administrative support to operations personnel, processing parts and creating requisitions for warehouse operations, maintaining and ordering office supplies, etc.

- Assists management in developing/preparing and maintaining metrics and reports.

- Exemplifies the Company’s Desired Leadership Style.

- Resolves customer disputes associated with this activity consistent with policy, procedures and/or processes. Consults with General Manager or Customer Relations department as appropriate on large gas customers, complex issues or sensitive matters.

- Performs a variety of administrative duties: Coordinates employee-related issues such as timesheet/paycheck matters, vacation/leave requests, change of status/address, training requirements, etc.; monitors vacation/leave requests and reconciles; administers the petty cash fund; opens and routes incoming mail; types correspondence, reports and other materials; processes invoices for payment; maintains various files and logs to include employee data and compliance records; etc. Responsible for the general appearance of the office.

- Provides and enforces appropriate safety rules and procedures; provides for a safe work environment. Coordinates and provides for EH&S training; maintains records of all training conducted. Complies with all written safety rules and procedures and reports all unsafe acts and conditions and correct those within authority. Maintains all EH&S training on a current basis.

- Performs related duties as required or other duties as assigned. Assists the General Manager,

Supervisor, Customer Service & Installation and Sales Supervisor in their requirements including community-related events. Handles Step 1 of the grievance procedure in the Collective Bargaining Agreement.

- Complies with all applicable Hawaii Gas policies and procedures.

- Maintains assigned work area and equipment in a clean, orderly and safe manner; performs housekeeping duties as required and/or instructed. Works in a safe and responsible manner.


Qualifications:


Required Education and/or Work Experience:

- Business school graduate or equivalent work experience.

- 3+ years successful experience in all phases of the work described with strong business skills in customer retention and satisfaction, and demonstrated ability to achieve maximum efficiency in processes and people and to meet deadlines.

- Must have good knowledge of people and analytical skills to evaluate problem situations to provide for effective resolution.

- Possesses good supervisory skills and as applied to a union environment.

- Knowledge and experience in on-line computer data base systems and micro computer systems.

- Hands-on management style.
