Shipping & Receiving Clerk — Service Parts & Warranty
Department: Operations Location: Waco, TX (On‑site) FLSA Status: Non‑Exempt Reports To: Owner/CEO
We are seeking a detail‑oriented, organized Shipping & Receiving Clerk with responsibility for Service Parts & Warranty. You will manage the flow of goods in and out of the plant, ensuring outbound Cargo trailer shipments and parts orders are accurate to the work order, and that all receiving, inventory, and documentation are completed precisely and on time. This role operates in a fast‑paced environment and requires excellent attention to detail, strong follow‑through, and safe operation of material‑handling equipment.
- Inbound Receiving: Inspect incoming shipments against purchase orders and packing slips; record variances, damage, or shortages; route items to proper locations.
- Outbound Shipping (Trailers & Parts): Verify trailer builds match work orders including all features/options; pick, pack, and label parts orders accurately; generate and attach shipping labels, packing lists, and bills of lading as needed; stage and load.
- Warranty & Service Parts: Process warranty claims parts shipments, replacements, and returns; document serials/photos as required; maintain clear communication with service/warranty team.
- Inventory Control: Assist with cycle counts and periodic full counts; restock locations; help maintain accurate on‑hand balances and bin integrity in the MRP system.
- Documentation & Systems: Accurately maintain records in MRP/ERP; complete job travelers/hard cards and other shipping/receiving paperwork.
- General Support: Perform shop errands (tools/supplies) as needed; collaborate with production, purchasing, service, and logistics to meet daily ship/receive targets.
- Quoting/Estimating (QuickBooks): Create quotes/estimates and issue sales confirmations.
- Warranty Claims: Process, document, and track warranty claims; coordinate parts shipments and returns.
- Parts Sales (including panels): Support orders; pick accurately and ensure correct pricing and invoicing.
- Trailer Repairs: Coordinate and/or perform basic trailer repairs with the service team; document in job travelers.
- Shipping Coordination: Schedule pickups, prepare paperwork, and communicate with carriers.
- VIN/MCO Administration: Maintain trailer VIN assignments and prepare Manufacturer’s Certificate of Origin (MCO) packets.
- Shipping Documentation: Prepare and file BOLs, packing lists, labels, and export documents as required.
- Customer Invoicing: Generate accurate invoices in QuickBooks; verify pricing, taxes, and terms.
- Tracking & Reporting: Track all referenced items (quotes, orders, claims, shipments, invoices) through closure; maintain logs.
- Minimum of 3 years of relevant experience (shipping/receiving, service parts, warranty, or related). Required.
- Proficient with Microsoft Office — especially Excel — for reporting and tracking inventory/shipments; comfortable with Outlook, Word, and Teams.
- Strong attention to detail, organization, and time management; able to work independently and as part of a team in a fast‑paced setting.
- Fluency in Spanish a plus
- Frequent standing, walking, lifting, bending, and carrying up to 50 lbs.
- Work in a shop/warehouse environment with seasonal temperature variations and noise; required PPE as applicable.
Valid driver’s license and reliable vehicle for job‑related errands.
- Experience with shipping documents (packing lists, BOLs, carrier labels) and basic freight practices.
- Prior shipping & receiving or warehouse experience preferred.
- Experience with order‑picking processes highly desirable.
- Ability to lift up to 50 lbs and stand/walk for extended periods.
- Strong attention to detail, organization, and time management; able to work independently and as part of a team in a fast‑paced setting.
- Full‑time; schedule may vary based on production and shipping demands.
