EthosEnergy is currently seeking Senior Payroll Specialist for our Houston,TX location. The Senior Payroll Specialist will report directly to the Senior Payroll Manager. As a Senior Payroll Specialist, you will be part of a team that shares the responsibility for, but not limited to, the timely and accurate processing of multi-state, union/non-union, weekly/bi-weekly payrolls for approximately 1,500+ employees both in the US and Canada. This includes all end-to-end processes, starting with ensuring the accuracy of new hires, employee transfers, rehires and termination information, the recording of time, earnings, deductions including garnishment processing, the auditing and balancing of payrolls, obtaining proper approvals, all post payroll, month-end, quarter-end, and year-end activities, including researching and resolving GL inquiries, tax agency notices, and employee questions as needed in a timely manner.
- Responsible for the timely and accurate, end-to-end processing, auditing, balancing, and variance analysis of US and Canada, weekly and bi-weekly payrolls in compliance with all federal, state, local, FLSA and labor law requirements, including company policies and guidelines.
- Provide post payroll, month-end, Finance/GL, and union related reporting.
- Research and resolve discrepancies, initiate manual payments, and wires as needed.
- Actively participate in quarter-end and year-end tasks, payroll testing, W-2 processing, amendments, W-2c’s, T-4’s, Workers’ Comp audits, multi-worksite reporting, BLS requests and special projects.
- Knowledge of federal, state, and local tax regulations, FLSA compliance and labor laws requirements.
- Process incoming garnishment, tax, VOE, unemployment and other payroll related mail, scan, save, and send to ADP or applicable department in a timely fashion.
- Apply for and set up new tax jurisdictions, resolve current and legacy tax inquiries and discrepancies, monitor and action ADP SmartCompliance tasks, run various tax filing reports, and pull invoices as needed through ADP SmartCompliance.
- Develops and maintains awareness of SOX controls and is accountable for compliance for each task performed.
- Build relationships of trust, respect, and partners with key stakeholders by providing timely communication and excellent customer service.
- Identify areas of opportunity for process improvement, provide solution-based recommendations to payroll leadership and champions improvements through to completion.
- Develop new or modify existing adhoc reports.

- Intermediate Excel skills including V-Lookup, Pivot Tables, and wide use of formulas.

- Safeguards and protects the confidential nature of employee information and documents, while always maintaining strict privacy.
- Excellent written and verbal communication skills.- 5+ years US multi-state payroll processing experience preferably using ADP Workforce Now.
- US multi-state tax compliance, filing, and resolution preferably using ADP SmartCompliance a plus.
- Canadian payroll experience a plus.
- APA Fundamental Payroll Certification (FPC) and/or Certified Payroll Professional (CPP) preferred.
- Intermediate Proficiency with MS Office Excel and MS Office software.
