Scheduling Coordinator, Hartford Lubricants

The Scheduling Coordinator, Hartford Lubricants is responsible for planning, scheduling, and confirming transportation activities for bulk and packaged materials. This role ensures timely movement of shipments by coordinating with carriers, drivers, and internal teams. The position supports operational efficiency by managing load schedules, verifying equipment, and communicating updates to stakeholders.

Responsibilities May Include:

Create, update, and confirm transportation schedules for inbound and outbound loads.

Send load confirmations to carriers, customers, and internal teams.

Serve as a primary contact for dispatchers and customer service representatives regarding load times and scheduling changes.

Provide proactive updates to stakeholders on shipment status, delays, or issues.

Maintain accurate records of load assignments, delivery times, and carrier communications.

Serve as a backup for other scheduling positions

Ensure scheduled loads comply with DOT, company policies, and customer requirements.

Maintain electronic and paper records for audits, billing, and performance reporting.

Assist with carrier compliance checks and verify required documentation.

Resolve scheduling conflicts and transportation disruptions in a timely manner.

Monitor performance metrics and contribute to process improvements.

Support initiatives to improve on-time delivery, cost efficiency, and customer satisfaction.

Strong organizational and time management skills.

Excellent communication (written and verbal).

Knowledge of transportation equipment types (dry van, container, bulk trucks etc.).

Ability to multitask and manage priorities in a fast-paced environment.

Proficiency in scheduling software, ERP, or Transportation systems.

Problem-solving and decision-making skills.

Required Qualifications:

Legally authorized to work in the job posting country

High School Diploma or GED equivalent

2 or more years of experience in transportation scheduling, dispatch, or logistics Coordination

Willing and able to obtain a Transportation Worker Identification Card (TWIC); information can be found at https://www.tsa.gov/for-industry/twic

Intermediate proficiency in Microsoft Office Suite (Excel, Outlook, Word)

Preferred Qualifications:

Associate’s degree or higher in Logistics, Supply Chain, or related field

Familiarity with DOT regulations and transportation compliance requirements

Compensation:

The base pay range for this role is $71,100 - $89,000 depending on a candidate's relevant work experience and education.
