Sales Coordinator Job Description
Under the supervision of the GM - Commercial, this individual will receive and prepare RFQ's from clients and ensure the delivery of the assigned proposal(s) within requested time frame. Ensure bid quality by coordinating required input from operational, project management, engineering, and commercial staff to ensure accuracy of the final proposal. Provide commercial handover of project information to Operations on project award per COAP-011. Maintain Commercial Bid Databases, files, folders, and templates for bids to ensure compliance with COAP-011 Commercial procedures, record keeping and document control.
Primary Duties / Responsibilities
- Manage proposal preparation per COAP-011.
- Receive and review RFQ from Americas based clients. Summarize SOW, prepare prognosis, cost estimate, draft terms and conditions and other related tasks for bid preparation of Americas projects.
- Ensure bid format meets client requirements and per COAP-011.
- Initial review of tender content inquiry and preparation of ICR per COAP-011.
- Research using statistics, track records, customer evaluations and any other appropriate tools to secure work in all proposals.
- Receive input from Operations and Technical Staff on project costs, subcontractor quotes, equipment schedules and personnel numbers
- Compile or request technical or operational procedures for bids when required.
- Prepare pricing analysis for lump sum bids.
- Submit Proposals once reviewed and approved.
- Complete Commercial handover to Operations (pre-job).
- Initiate and assist in preparing project quality plan per COAP-011.
- Maintain Commercial Database information for periodic Sales and Commercial Meetings and statistical analysis.
- Compile as bid to actual cost analysis on selected projects on a quarterly basis or as requested.
- Maintain Cost database for historical subcontractor pricing.
- Maintain Track Record database for awarded work on an evergreen basis, including requesting and collecting regional updates for track record information.
- Prepare all bids and develop all bid plans including Developing Bid Review Requirements and Schedule.
- Preparation and record keeping of all Service Orders for internal clients, group companies and other in-house services.
- Record keeping and filing of all Service Order Amendments for internal clients, group companies and other in-house services after approval and execution by Canyon Project Management.
- Support Commercial Department and GM Commercial covering sales of Company products and services to Clients.
- Assist with the development and support an appropriate sales visit program with targeted Clients to ensure the Company is positioned to secure targeted prospects.
- Work with the Commercial Department and GM Commercial to identify and maintain accurate technical and commercial prospect data and to develop strategy to secure targeted prospects.
- Support Business Development / Sales activities targeting new products, new Clients and new markets.
- Attend industry tradeshows/ seminars when requested on a case-by-case basis.
- Attend business functions outside the normal work hours when requested on a case-by-case basis.
- Participate in the development of Helix Robotics Solutions marketing material needed for proposals, tradeshows, or other Business Development events in accordance with parent company graphic standards.
Qualifications
Experience:2-3 years of experience relevant to job description.
Skills
- Microsoft Office knowledge.
- Relevant experience/background from tendering cost control, finance, planning.
- Relevant previous experience at an appropriate level in the subsea or offshore environment.
- Ability to withhold confidential information as associated with the job function.
