Project Coordinator, PMO (Non-Union)

Are you a detail-oriented professional with a passion for project management? At Alectra’s Enterprise Project Management Office (ePMO), we lead the delivery of projects and manage resource capacity reporting across the organization. Our team drives project, program, and portfolio development using established methodologies, processes, and tools.
As a Project Coordinator, you will support the ePMO in ensuring the successful and timely completion of enterprise-wide projects. You will work closely with the Director, PMO, to ensure compliance with reporting and monitoring obligations for projects of varying sizes. Your role will include assisting project managers and teams in coordinating project-related activities, such as scheduling, resource allocation, and meeting organization, with the aim of completing projects on time and within budget. Additionally, you will be an active member of the Portfolio Planning Team, supporting data extraction and reporting. You may also manage smaller, lower-risk projects from time to time.
What you’ll do
Project Coordination and Support
- Develop and maintain project and portfolio dashboards to monitor performance.
- Create and manage project schedules, ensuring alignment with objectives, timelines, and resource availability.
- Plan and prioritize project tasks, ensuring timely delivery.
- Coordinate project activities, including scheduling meetings and preparing agendas.
- Support scheduled reporting processes and compile tracking statistics.
- Extract, compile, and validate Portfolio level reports, liaising with Project Managers/Leads for necessary information.
- Document and track important actions and decisions from meetings.
- Assist with cost forecasting and communicate variances to stakeholders.
- Maintain project artifacts, including documentation, approvals, and status reports.
- Assist with resource utilization and reporting activities.
- Develop and maintain project-related metrics.
- Project manage small, low-risk projects as assigned.
- Provide administrative support, including preparing presentation materials.
- Promote best practices and standard methodologies within the ePMO.
- Perform other duties as assigned.

- Perform additional tasks as assigned to support operational objectives
Who you are
Education & Technical Knowledge
- Completion of post-secondary education with a focus on project management, or equivalent
- Progressing towards project management certifications such as CAPM or PMP designation
- Proven proficiency with MS Project Professional
- Expert level knowledge of Microsoft Office applications (Word, Excel, PowerPoint and Outlook)
- Working knowledge of MS Visio and MS SharePoint
- Enterprise MS Project Server, Project On-Line, and/or OnePlan applications, an asset
- Experience with PowerBI, an asset
- Minimum 2-years’ experience in supporting an enterprise-wide PMO environment
- Minimum 2-years’ experience as a Project Coordinator
- Experience in supporting project control and enterprise reporting activities, an asset
- Working knowledge of the project life cycle and project management principles
- Energetic and enthusiastic team player
- Excellent interpersonal and highly developed communication skills (verbal and written)
- Creative thinker with the ability to plan, prioritize, and assess situations
- Capable of working in a fast-paced environment with tight delivery deadlines
- Well organized, independent, and able to work with minimal supervision
- Must have a positive and constructive approach when dealing with others and fit well in a varying team dynamic
- Must hold and maintain a valid class “G” driver’s license
- Location: Derry (Mississauga)
- Hybrid: This role is based in a hybrid environment, allowing for a mix of remote and in-office work to support team collaboration and business needs.
