General Statement of Duties
This non-exempt position provides administrative support in the Operations Division. This position provides professional support to District operations staff and supports a department that consists of diverse and complex activities. Considerable freedom to decide on work priorities and procedures to be followed. Performs a wide variety of experienced administrative and technical work, in support of a wide range of District policies, procedures, and goals. Assists with implementing special projects as directed.
Supervision Received
Works under the direct supervision of the Operations Program Manager and general direction of the Director of Operations.
Primary Duties and Responsibilities
•Coordinates with operators to schedule high chlorine, clearwater, hydrant flow testing, distribution line shutdowns and water testing fees for contractors and builders.
•Assists Director of Operations and operations managers with routine and confidential correspondence, scheduling internal and external appointments, including meetings, and assisting with special projects.
•Facilitates development, review, production, and distribution of reports related to Intergovernmental Agreements, Local, State, and Federal compliance, and District performance
•Maintains records and notifies District operations staff of licensing, training and educational opportunities and expiration/renewal of job specific credentials.
•Coordinate with contractors to resolve operations related issues.
•Composes and notarizes correspondence, letters and minutes, and memoranda, as requested.
•Data entry, including editing and formatting Standard Operating Procedures.
•Creates ad hoc reports as needed.
•Manages calendars for meetings, conference rooms. Coordinates hospitality services as needed for meetings, including transportation to and from special events.
•Performs filing duties including, but not limited to, correspondence, inspection reports and computer reports.
•Supports and aids with all operations division functions, supports individual operations departments and may support other needs outside the Division.
•Contributes to a work environment that encourages knowledge of, respect for, and development of skills consistent with the culture and values of the District.
•Maintains or establishes vendor relationships for products and services needed in operations.
•Operation of barrier gates.
•Order supplies for operations team.
•Responsible for UHF radio functionality check program.
•Facility and vehicle inspection record keeping.
•Assist with operations inventory management and control.
•Performs other duties as assigned which may be outside the primary area of responsibility.
Knowledge, Skills & Abilities
•Excellent customer service, human relations, conflict resolution, attention to detail, accuracy, and organization skills.
•Demonstrated solid computer knowledge and skills to effectively use computers and applications including Microsoft products, spreadsheets, email, internet, and databases.
•Solid knowledge of business English, spelling, grammar and modern office practices and procedures.
•Ability to operate and troubleshoot a variety of office equipment, including a copy machine, calculator, laminators, report binding tools and other related office equipment.
•Ability to efficiently and accurately key information using a keyboard.
•Ability to perform basic accounting, code receipts, populate expense reports, and perform basic mathematical computations.
•Ability to effectively communicate verbally and in writing, organize activities to complete tasks in accordance with priorities, address multiple demands and meet deadlines.
•Ability to maintain confidentiality of files and other information.
•Ability to work professionally & effectively with supervisors, co-workers, visitors, and the public.
•Ability to appropriately maintain knowledge of confidential and sensitive issues/information.
•Ability to plan, organize and manage workload and projects, set priorities, meet deadlines, and work under pressure effectively and efficiently.
•Enthusiastic team player, capable of demonstrating initiative, self-motivation, and the ability to complete tasks and assignments in a timely manner.
Qualifications/Experience
•Minimum of a High School diploma or GED.
•Minimum of 3 years of administrative support or an equivalent combination of education and experience is required.
•Established as a Notary Public preferred or the ability to obtain Notary Public after employment.
Working ConditionsPhysical Activities
•Monday through Friday, 8 hours per day, 40-hour workweek.
•This is an in-office position.
•Standard office environment with constant interruptions and deadlines; mostly sedentary work.
•May work from one or more PWSD locations within a day.
•Vision is needed for reading, recording and interpreting information; speech and hearing are used to communicate with customers and other employees over the telephone, on a two-way radio and in person.
•Light physical effort required by handling objects up to 20 pounds occasionally and/or up to 10 pounds frequently.
•Will periodically drive a District vehicle.
