The Opportunity
We’re looking for an Operations & Administrative Coordinator to support day-to-day functions across multiple departments—from job tracking and purchasing to shipping logistics and production planning. This role is critical in keeping our shop organized, efficient, and on track as we continue to grow and take on new projects.
Key ResponsibilitiesProduction & Project Support
•Open and manage work orders (W/Os)
•Import and nest files for production and quoting
•Enter and manage time sheets, material allocation and nesting
•Monitor and update daily planners and production schedules
•Perform job costing and maintain accurate cost tracking
Purchasing & Inventory
•Enter, issue, and track purchase orders (P.O.s)
•Monitor and replenish inventory and general supplies (office, shop, bolts, etc.)
•Release inventory from W/Os into stock
Shipping & Logistics
•Coordinate incoming and outgoing shipments, including scheduling and courier communication
•Prepare and manage customs paperwork (Proforma, POA, etc.)
•Handle wide load permits and schedule large outgoing shipments
•Support import processes tied to specific job numbers
Administrative & Support Tasks
•Receive and enter packing slips
•Manually enter quotes and maintain quote files
•Coordinate logistics for staff events (ordering food, supplies, etc.)
•Maintain and organize both physical and digital records related to contracts and quotes
•Assist with quarterly WIP (Work in Progress) reports
•Resolve nesting/culling issues in production files
What We’re Looking For
•Experience in an administrative, operations, or shop support role (experience in manufacturing is a bonus)
•Strong organizational skills and the ability to juggle multiple tasks
•Tech-savvy with comfort using software tools for scheduling, inventory and reporting
•Excellent communication skills and a team-oriented attitude
•A proactive mindset—you spot what needs doing and take initiative
