Overview
We are seeking a dynamic Operations Coordinator to join our team and help drive our administrative operations. The Operations Coordinator will play a pivotal role in ensuring the smooth day to day operations of our office. This position is ideal for a highly organized, proactive individual who thrives in a fast paced environment, and is passionate about supporting teams across various functions. The successful candidate will be responsible for managing administrative tasks, facilitating communications, and maintaining an efficient work environment that reflects our commitment to excellence.
Duties
•Administrative Support: Provide comprehensive administrative support to management and staff, including scheduling meetings, managing calendars, and coordinating travel arrangements.
•Office Operations: Oversee daily office operations including managing supplies, maintaining office equipment, and ensuring the work is organized and functional.
•Communication: Serve as the primary point of contact for internal and external communications. Answer and direct phone calls, respond to emails and greet visitors professionally.
•Document Management: Organize and maintain electronic and paper files, prepare reports, and and assist in the creation of presentations and documentation.
•Event Coordination: Assist with planning and executing company events, meetings and conferences.
•Data Entry and Record Keeping: Enter data accurately into company databases and systems and maintain records in compliance with company policies and procedures.
•Support Special Projects: Collaborate with various departments to support ad-hoc projects and initiatives that drive operational improvements.
Requirements
•Education: High school diploma or equivalent, associate or bachelor's degree in business administration or a related field is a plus.
•Experience: Minimum of 2 years experience in a administrative or office management role.
•Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) : familiarity with office management software is desirable.
•Communication: Strong written and verbal communication skills.
•Problem Solving: Ability to work independently, prioritize tasks and solve problems proactively.
•Team Player: Collaborative mindset with the ability to work well within a diverse team environment.
•Adaptability: Flexibility to adapt to changing priorities and work under pressure in a fast paced setting.
