We are seeking a detail-oriented and organized Operations Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring administrative tasks are completed across multiple companies. This role requires strong communication skills, proficiency in office software, comprehension of common invoicing practices, and the ability to manage multiple tasks simultaneously.
- Serve as receptionist when required by welcoming customers and taking payments
- Provide customer service support via phone and email
- Process Disposal orders within Box Tracker system
- Manage day-to-day administrative tasks, including filing, data entry, and office inventory / ordering of supplies
- Spreadsheet tracking of vehicle registration and renewal within multiple companies
- Maintenance of monthly billing to customers
- Maintain organized filing systems for easy retrieval of documents
- Collaborate with other departments to ensure smooth operations within the office
- Proven experience in an administrative role or similar position is required.
- Must have demonstrated experience preparing and processing invoices (Sage 5.0 accounting software experience is preferred).
- Proficiency in Microsoft Office and Excel Spreadsheet is a must; familiarity with other ISN / tracking systems is beneficial
- Experience working in the trucking / gas and oil industry is a plus
- Strong organizational skills with attention to detail and the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Ability to handle sensitive information with discretion and confidentiality
