Company Overview:

Sign Zone LA is a leading sign manufacturing company specializing in the design, fabrication, and installation of custom signage solutions for commercial and industrial clients. We are looking for a detail-oriented and organized Administrative Assistant to support our team and help ensure the smooth day-to-day operation of our business.


Job Summary:

The Administrative Assistant will provide administrative and clerical support to ensure the office's efficient operation. The successful candidate will be responsible for managing communications, maintaining files, coordinating with clients and vendors, and supporting the production and installation teams. Experience in a manufacturing or construction-related environment is preferred.


Key Responsibilities:

- Answer and direct phone calls, emails, and other correspondence.

- Greet and assist visitors and clients in a professional manner.

- Schedule and coordinate meetings, appointments, and project timelines.

- Maintain office filing systems, both electronic and physical.

- Process work orders, purchase orders, and invoices.

- Track project status and update internal systems as needed.

- Assist in managing inventory and ordering office supplies.

- Coordinate with vendors, clients, and internal departments.

- Maintain job files, permits, and compliance documentation.

- Prepare and distribute internal and external communications (e.g., memos, emails, reports).

- Support the sales and production teams with administrative tasks.

- Assist with shipping/receiving coordination and documentation.


Required Qualifications:

- High school diploma or equivalent; Associate’s degree or higher preferred.

- 2+ years of experience in an administrative role (experience in manufacturing or construction a plus).

- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).

- Strong organizational and time-management skills.

- Excellent verbal and written communication skills.

- Ability to multitask and prioritize in a fast-paced environment.

- Familiarity with basic accounting or project management software is a plus (e.g., QuickBooks, Jobber, or similar).

- Detail-oriented with a problem-solving attitude.

Bilingual (English/Spanish) is a plus, depending on the clientele


Job Type: Full-time


Pay: $23.00 - $28.00 per hour
