American Solar Repair looking for a part-time, expert Admin & Bookkeeper to help us wrap up our business operations. This role is perfect for someone who’s organized, resourceful, and enjoys digging in to solve puzzles when the information isn’t all neatly laid out. The candidate will need to live within 1 hour of our office so they can pick up the mail and meet with the CEO weekly, and be able to work during normal business hours (not on the weekend).
- To start, you'll undertake a collection process - where's the last payroll report, what state filings (unemployment, workers-comp, secretary of state filings) are already closed or what needs to get closed. You'll with with our current bookkeeper, who had to take a full time job but is still reachable, to get everything together. My sense is that this collection process will be the biggest hill to climb and once assembled, the rest below will become pretty easy.
- Go through emails, payroll records, and files to connect the dots and make sure everything balances.
- Pick up the company mail in Chappaqua twice a week, sort through it, and flag anything that needs to be closed out.
- Take the lead on closing out accounts with agencies like the Secretary of State, Workers’ Comp, Unemployment, and Sales Tax.
- Enter and reconcile all 2025 receipts and expenses into our existing QuickBooks (via RightNetworks).
- Set up remote access on your own computer to securely work in our system.
- Keep a clear checklist of what’s done and what’s still in progress.- 5+ years of bookkeeping/admin experience, especially with closing things out.
- Comfortable with QuickBooks (bonus points if you’ve worked in RightNetworks remote hosting).
- ADP experience (running reports, reconciling payroll, etc.).
- A “dig in and figure it out” mindset—you don’t mind rolling up your sleeves to research, track things down, and piece everything together.
- Located within 1 hour of Chappaqua, NY (so you can grab the mail twice a week).
- Scheduled work hours during weekdays during normal business hours (no weekends).
- Able to work independently as a 1099 contractor, using your own computer.
- $100/hour (1099 contractor).
- About 2 hours per weekday.
