Lightning Steel Inc. is a leading steel fabrication and erection company. We are a dynamic and growing team seeking a detail-oriented and proactive Administrative & Bookkeeping Assistant to support our office operations.
The Administrative & Bookkeeping Assistant will be the first point of contact for our company, seated in the reception area. This role is central to our daily operations, providing crucial support to our Office Manager and Lead Project Manager. The ideal candidate will have strong experience with QuickBooks and will be responsible for a variety of bookkeeping, financial tracking, and administrative tasks.
- Financial & Bookkeeping Duties:
- Manage Accounts Payable (A/P) and Accounts Receivable (A/R)
- Reconcile billings, comparing material purchases against job allocations in QuickBooks
- Assist the Office Manager with reconciling payroll costing.
- Track all credit card expenditures using both QuickBooks and Microsoft Excel
- Prepare financial graphs and reports in Excel for monthly billing meetings.
- Handle invoicing for various projects
- Assist the Lead Project Manager with billing jobs and preparing AIA forms.
- Administrative & Front Desk Duties:
- Answer and direct incoming phone calls
- Perform data entry and maintain organized filing systems
- Track the status of ongoing projects
- Manage expense reconciliations
- Perform other administrative tasks as required to support office efficiency.
- Required Experience:
- Minimum of 1 year of experience with QuickBooks is required.
- Minimum of 1 year of experience with Microsoft Office (specifically Excel) is required.
- Education:
- High school diploma or equivalent is preferred.
- Preferred Skills:
- Proficiency in Spanish is preferred.
- Experience in the construction or manufacturing industry is a plus.
