Overview:
We’re looking for a highly organized and proactive Office Coordinator to ensure our day-to-day operations run smoothly. This role is essential in creating a supportive and efficient environment for our team. Also responsible for supporting leadership with architectural design project timelines and maintaining client and partner relationships. The ideal candidate is detail-oriented, communicative, and able to juggle multiple priorities with ease.
Key Responsibilities:
•Oversee daily office operations and ensure everything runs efficiently
•Maintain office supplies and manage vendor and partner relationships
•Manage and track submittals, change orders, proposals and other design administration
•Support architectural projects through all phases, including design development and construction documents
•Schedule meetings and coordinate calendars
•Organize and maintain digital and physical files and documentation
•Manage internal communications and support leadership with administrative tasks
•Ensure the office space is clean, organized, and welcoming
•Provide general support to staff, leadership, and clients
Qualifications:
•3+ years of experience in office management, administration, or a related field
•Strong written and verbal communication
•Proficient in Microsoft Office
•Ability to work independently and anticipate team and leadership needs
•Proven ability to manage multiple projects and deadlines simultaneously
