Office Administrator

We are looking for an organized, self-motivated, and driven individual who has previous work experience in a fast-paced environment working under multiple managers to join our team as an Office Administrator. The ideal individual will be interested in, and willing to learn, the responsibilities listed below and possess the key job requirements.

Responsibilities:

· Answer phones in a pleasant manner, directing phone calls as needed and taking messages

· Write and distribute email, correspondence memos, letters, faxes, and forms

· Maintain a filing system

· Greet customers and assist them

· Organize and schedule appointments

· Prepare work orders and organize daily work

· Data entry and coding (fuel, service, plumbing)

· Delivery ticket routing and assignment

· Assist with maintaining a computerized inventory system by adding parts, updating pricing, verifying cost etc.

· Assist with additional tasks

Job Requirements:

· Ability to work full-time (40+hrs/wk) with possible weekends when needed

· Positive attitude, professional, highly organized, and energetic

· Ability to work and communicate effectively individually as well as in a team environment

· Excellent customer service skills

· Ability to be analytical and multi-task

· Ability to take direction well and work independently

· Excellent interpersonal skills and effective oral and written communication

· Team player willing to learn new tasks

· Superb attention to detail and accuracy

· Ability to implement processes and procedures

· Previous knowledge/work history in the HVAC industry a plus

· Experience with database software

· A minimum of 1 year of experience in a similar role

· Self-motivated enthusiastic presence in a team

· The physical ability to lift up to 25 pounds
