A reputable professional services firm is seeking a capable Office Administrator to manage the daily administrative, bookkeeping, and operational tasks of a small but dynamic office. This role requires someone who is highly organized, self-motivated, and thrives in an independent setting. You'll serve as the primary administrative support to leadership and be responsible for ensuring everything in the office runs efficiently.
- Manage day-to-day office tasks, including phones, email correspondence, document preparation, and maintaining a welcoming front office.
- Draft, edit, and proof proposals, invoices, letters, and other formal documents.
- Maintain organized digital and physical filing systems.
- Run occasional errands for the office (post office, office supply store, etc.)
- Coordinate with vendors, service providers, and external consultants.
- Support onboarding of new hires and assist with compliance documentation as needed.
- Perform full-charge bookkeeping using QuickBooks Online:
- Accounts payable/receivable
- Payroll processing
- Bank reconciliations
- Tax deposits and reporting
- Job costing
- Prepare monthly and ad hoc financial reports (P&L, balance sheet, etc.)
- Monitor outstanding invoices and follow up on accounts receivable and vendor billing.
- Maintain compliance with general employment law requirements (e.g., onboarding records, basic HR documentation).
- Collaborate with HR consultants when appropriate.
- Ensure secure storage and handling of confidential employee and financial documents.
- Take initiative in streamlining office operations and creating new processes or systems for better efficiency.
- Maintain an inventory of office supplies and reorder as needed.
- Monitor and organize critical files, contracts, and forms to ensure everything is audit-ready.
- High School Diploma required; associate’s degree or business certificate preferred.
- Minimum of 3 years experience in office administration and bookkeeping.
- 2+ years of experience using QuickBooks Online (intermediate level or above).- Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.
- Solid understanding of accounting principles including debits, credits, and financial statements.
- Ability to communicate professionally, manage multiple priorities, and maintain confidentiality.
- Must have a valid driver’s license and reliable transportation.
