JOB SUMMARY: Acts as an active, supporting member of the Customer Interaction and Growth Development team to support the marketing department’s goal of maximizing customer interaction through data organization and appliance sales. This position must be able to perform essential functions and responsibilities with moderate supervision.
Incumbents in this position will be held to the District’s Gold Standard for Customer Service.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
•Assists running various reports from Salesforce and Cognos which is used to provide KPI information to assist the Vice President of Marketing in adjusting procedures and supporting the District’s budget.
•Assists auditing various aspects for the District; pending charges for Installation jobs, open Builder Allowances and Program Rebates, Salesforce job complete stage review, customer pick ups, meter set monitoring.
•Assists coordinating Ardurra with locations that require private utilities to be located for existing residential service lines; includes assisting creating 811 location tickets through Sunshine 811 portal, Exactix; uploading Ardurra pictures and Engineering designs to CompanyCam.
•Provides back up assistance to Coordinate, schedule and document representative appointments.
•Assists collecting and processing invoices for the Marketing Department; assigning account number, retrieving approval signatures, providing to Accounting for processing and reconciling credit card statements.
•Assists in completing Salesforce opportunities based on Cognos Meter Set Report; verifies equipment located in the house at the time of the meter set, enters date stamps for important KPIs, closes the opportunity for tracking purposes.
•Assists reviewing rebates, such as Program Rebates and Builder Allowances, to ensure eligibility requirements are met and submits for approval to the Growth Development Supervisor for processing.
•Assists the Installation Department’s processes in various tasks to include but not limited to; creating appropriate 811s through Exactic 811 portal, issuing inventory, processing Southern Pipe invoices, and completing WFs in Naviline.
•Assists the Installation Scheduler with documenting installation work in Kickserve; inserts key criteria in Salesforce regarding scheduled install jobs and pulls reports for the communication to other areas.
•Assists submitting Time for the Marketing Department; gathering individual time, receiving, and recording proper leave slips, inputting proper codes and hours. Uses Naviline and CompanyCame to accomplish this task.
•Assists the Appliance Sales Coordinator in upkeeping the District’s appliance website; to include but not limited to updating appliance costs, entering new products and setting up promotions/sales announcements.
•Assists the Marketing Cancellation process as directed by the Appliance Sales Coordinator; cancels Naviline WFs, verifies Salesforce and pending charges reflect cancellation directions.
•Assists in proper documentation for parts that are eligible for warranties to include completing proper forms and communicating warranty eligibility with key vendors.
•Assists inputting various information in Salesforce for data entry used for tracking and KPI purposes.
•Assists the Customer Interaction and Growth Development team and its members to provide aid/backup support when directed for the overall success of the team and the District.
•Other miscellaneous job-related duties as assigned.

EDUCATION AND EXPERIENCE:
ASSISTANT I:
High School and zero to two years directly related experience
ASSISTANT II:
High School plus two to five years directly related experience
ESSENTIAL COMPETENCIES/TECHNICAL SKILLS:
•Ability to communicate effectively, both orally and in writing.
•Interpersonal skills to communicate and work effectively with various personality types.
•High level of organization and attention to detail.
•Ability to multitask and exhibits excellent time management skills.
•Experience and knowledge of using personal computers with the ability to work in MS Office, specifically Excel, and other applicable software applications.
•Experience with SalesForce software system.
•Must possess and maintain valid Florida driver's license and a driving record satisfactory to the District and its insurers.
•Understanding of geographic, statistical, mathematical, and computer science theory, methodology, applications, and techniques.
OTHER FACTORS:
•Must be appropriately attired for an office environment.
•Regular attendance is essential.
•May be required to work other than normal work schedule.
•May be required to work overtime with little notice.
•Physical Effort: Requires walking, driving, bending, stooping, crawling, climbing and moderate to heavy lifting. May require viewing and working on a computer for extended periods of time.
