The Inside Sales/Rental Customer Service Representative supports equipment sales and rentals by managing quotes, orders, and customer interactions. Responsibilities include sourcing, order processing, and follow-up, as well as handling equipment pull, returns, and inventory. Strong communication and attention to detail are key to ensuring smooth operations and timely, accurate fulfillment.
- Serve as the main point of contact for customer inquiries related to equipment sales and rentals, responding promptly and professionally via phone and email.
- Gather and document all relevant customer and equipment information to prepare accurate and detailed quotes based on specifications and required timelines.
- Submit quotes along with supporting materials and JM Test Systems’ value proposition and follow up to convert quotes into orders.
- Verify all order details with the customer, including payment terms, delivery location, and contact information, and process orders accurately and on time.
- Coordinate order fulfillment by routing appropriate documentation to purchasing or rental teams, ensuring all necessary forms (e.g., SR forms, POs) are included.
- Maintain up-to-date and accurate customer records in the CRM system, including new contact entries and logging all communications and transactions.
- Check in returned rental equipment within 48–72 hours (48 hours for write-up), using CALMAPP to initiate calibration and re-rental processes.
- Safely transport equipment from drop-off and receiving areas to the Check-In Clerk’s workstation throughout the day.
- Clean and inspect rental units before submission to the lab, verifying operational functionality, checking accessories, updating asset numbers, and removing all non-JM markings.
- Monitor equipment status, track missing accessories or damage, document findings, and return ready units to the rental shelf.
- Manage sub-rental returns and coordinate with vendors to ensure accurate documentation and processing.
- Maintain accessory inventory levels by submitting weekly purchase requisitions to ensure frequent-use items are stocked and ready.
- Prepare and process rental orders to meet customer need-by dates, verifying calibration status, accessory completeness, and staging units for shipment.
- Communicate daily with customers via “Early Bird” emails, providing order documentation, rental terms, certifications, and return instructions.
- Maintain the Rental Database by updating equipment records, scanning datasheets, and organizing digital and physical files per JMTS procedures.
- Keep QA finish shelves and rental inventory areas clean, organized, and well-stocked to support efficient turnaround seasons and daily operations.
