Job Summary:
The Inside Sales Coordinator plays a critical role in driving revenue growth by managing sales inquiries, processing quotes and orders, and ensuring a seamless customer experience. This individual serves as a liaison between customers and the sales team to ensure timely and accurate quote fulfillment. This position requires the incumbent to be detail-oriented, customer-focused, and adept at multitasking in a fast-paced manufacturing environment.
Key Responsibilities:
•Open and manage Invitations to Bid (ITBs) in the QuickBase System, ensuring all necessary information is recorded for accurate pricing.
•Coordinate with the Estimating and Sales teams to secure and verify pricing details.
•Research and identify bid opportunities using Bid Clerk and other industry databases.
•Ensure all drawings, specifications, and addendums are up to date for accurate pricing estimations.
•Prepare customer-specific price proposals, ensuring timely and accurate delivery based on customer expectations.
•Maintain strict adherence to bid deadlines, ensuring all proposals are submitted on time or ahead of schedule.
•Assist Outside Sales with large account bid package preparation as needed.
•Develop and maintain strong relationships with new and existing customers by providing excellent customer service and timely responses.
•Educate customers on product features, benefits, and technical specifications to facilitate informed purchasing decisions.
•Work closely with the Sales Manager and Outside Sales Representatives to support business development efforts.
•Prepare accurate and competitive quotes based on customer specifications, pricing guidelines, and manufacturing capabilities.
•Process customer orders, ensuring accuracy in specifications, pricing, and delivery timelines.
•Track orders from placement to delivery, providing proactive updates to customers and addressing any order discrepancies.
•Coordinate with Production and Logistics teams to ensure on-time delivery and smooth order fulfillment.
•Follow up with customers on open quotes and outstanding orders, ensuring high customer satisfaction and driving sales conversions.
•Maintain up-to-date and accurate information in the QuickBase and Architect databases, including customer details, bid opportunities, quotes, and job statuses.
•Consistently update and manage data related to sales activities, customer interactions, and order history.
•Generate sales reports and performance metrics to support strategic decision-making.
•Assist in developing and refining sales processes to improve efficiency and customer satisfaction.
•Support marketing efforts by coordinating promotional campaigns, email outreach, and trade show participation as needed.
•Engage in clear and constructive communication with team members and leadership to foster teamwork and open dialogue with peers and management.
•Consistently embody and uphold the company's values and principles in every task and responsibility.
•Maintain a clean, neat, orderly and safe working environment.

Qualifications:
•High School diploma or equivalent, some college preferred.
•3+ years in inside sales, sales coordination, estimating support, or customer service, preferably in manufacturing, construction, or building materials.
•Proficiency in QuickBase CRM, Microsoft Office Suite (Excel, Word, Outlook), and sales/order management software.
•Strong organizational skills with the ability to manage multiple bid opportunities and ensure data accuracy.
•Excellent verbal and written communication skills with the ability to collaborate with customers and internal teams.
