Job Summary
Pawnee Waste is seeking a highly organized HR and Administrative Coordinator to support day-to-day HR and office operations. This role is responsible for onboarding, recruitment coordination, employee documentation, digital file management, and administrative support. The ideal candidate is detail-oriented, dependable, and capable of handling confidential information with professionalism.
Responsibilities
Onboarding & New Hire Coordination
•Distribute and track all onboarding documents and forms
•Coordinate pre-employment requirements (e.g., drug testing, safety training)
•Issue and monitor PPE vouchers and supplies
•Provide support to new hires during onboarding
Recruitment & Screening
•Post jobs to internal and external platforms
•Maintain and update job descriptions
•Track applicants and schedule interviews
•Conduct screening interviews or send digital screening questions
Employee Records & File Management
•Maintain accurate and confidential digital and physical HR files
•File onboarding, training, policy acknowledgment, and offboarding documents
•Identify and implement improvements to current filing systems
Performance Tracking & Policy Support
•Track employee review dates and notify managers
•Assist in distributing updated policies and confirming acknowledgments
•Support preparation of internal HR reports
Offboarding & Equipment Return
•Manage employee offboarding process and checklists
•Coordinate return of company property (e.g., laptops, keys, PPE)
•Close employee records and notify internal teams
Administrative & Accounting Support
•Assist with invoice entry, coding, and A/P or A/R processes
•Support supply tracking and internal administrative logs
Scheduling & Coordination
•Schedule interviews, onboarding sessions, and team meetings
•Coordinate with departments to ensure aligned calendars
Employee Support & Compliance
•Act as first point of contact for employee questions related to HR processes
•Support documentation for employee-related matters as directed
•Maintain discretion and confidentiality in all interactions
Other Duties
•Perform other HR or administrative tasks as assigned
•Occasional weekend or holiday work may be required
Qualifications
•High school diploma or equivalent (Associate degree in HR or business preferred)
•2+ years of administrative or HR support experience
•Familiarity with onboarding, recruiting, digital filing, and A/P or A/R
•Strong attention to detail, time management, and organization
•Proficient in Microsoft Office (Excel, Word, Outlook)
•Excellent communication skills and ability to maintain confidentiality
•Willingness to travel occasionally to remote work locations
Work Environment
•Office-based in Fort Collins, CO
•Occasional travel to landfill sites
•Extended periods of sitting and computer work
•Occasional lifting up to 30 pounds
•Minimal field exposure; standard office noise levels
