The Executive Assistant to the President provides high-level administrative, coordination, and operational support for the delivery of Stage 1A and Stage 2 expansion projects. This role requires exceptional organization, professionalism, and the ability to operate in a fast-paced, technically complex, and dynamic environment.
The Executive Assistant serves as a key connector between the President, the construction management team, contractors, engineering partners, site leadership, and corporate offices. The ideal candidate has deep industry knowledge, and is proactive, adaptable, and skilled at managing confidential information, juggling multiple priorities, and anticipating the needs of senior executives.

Responsibilities
- Draft, edit, and format presentations, reports, correspondence, and executive summaries.
- Support communication and information flow between senior leadership and internal/external.
- On behalf of executive leadership, liaise with stakeholders, including engineering, construction management, contractors, procurement, and permitting groups.
- Prepare agendas, take minutes, and track action items for project status meetings and leadership updates.
- Assist with internal and external communications, including Board and regulatory reporting materials.
- Organize and track project documentation, including progress reports, engineering deliverables, contract documents, and meeting notes.
- Coordinate site tours, inspections, and visits by executives, partners, or regulators.
- Maintain project-related databases, logs, and shared folders to ensure accuracy and timely access to information.
- Support initiatives related to Indigenous employment, including coordinating programs, communications, and engagement efforts.
- Maintain and coordinate complex calendars for the President and SVP, Construction, aligning with operational priorities and project schedules.
- Coordinate travel arrangements, itineraries, and logistics for site visits, contractor meetings, and corporate engagements.
- Travel to project sites and regional offices as required to support executive activities.
- Support onboarding and site-access requirements for visitors and project personnel.
- Collaborate with site-based administration, security, and logistics teams to facilitate smooth operations.
- Maintain organized and confidential filing systems for project-related documentation.
- Liaise with other Executive Assistants and departments to coordinate company-wide operations
- Post-secondary diploma or certificate in business, administration or a related field.
- Demonstrated knowledge of mine site operations, logistics, safety protocols, and construction packages.
- Two years of experience:
- Supporting senior leaders in large-scale construction, engineering, or capital project environments, preferably within mining or another heavy industry.
- Coordinating capital project contractors, documentation, correspondence, schedules, and workflows.
- Liaising with technical teams (engineering, geology, maintenance, processing) and translating information into clear administrative outputs.
- Managing highly confidential information
- Exceptional organizational, time management, multitasking, and communication skills.
- Proficient in MS Office and related business applications.
- Ability and willingness to travel to corporate offices, supplier locations, and mine-site construction areas.
