Role Overview:
The Executive Assistant (EA) is the CEO’s right hand, responsible for maximizing the CEO’s productivity and focus by managing day-to-day operations, communication channels, and critical follow-ups. This role demands precision, confidentiality, and proactive problem-solving to keep initiatives moving and ensure seamless execution across all CEO-led priorities.
Strategic Outcomes (SMART):
•Optimize CEO Productivity:Maintain 100% schedule alignment and eliminate scheduling conflicts weekly, ensuring the CEO’s time is focused exclusively on high-impact activities.
•Communication & Responsiveness:Achieve and sustain a 95%+ response rate within 24 hours for all triaged CEO communications (email, Slack, text), reviewed monthly.
•Project Accountability:Track and complete 100% of CEO-directed projects and action items on or ahead of deadlines, reviewed weekly.
•Meeting Excellence:Ensure 100% of meetings are fully prepared with agendas and required materials at least 24 hours prior to each meeting, and reviewed weekly.
•Travel & Logistics Management:Successfully plan and execute 100% of CEO travel with zero missed connections or logistical issues, finalized at least 7 days before departure.
•Confidentiality & Compliance:Maintain 100% confidentiality and pass quarterly audits of sensitive document handling and security protocols.
•Process & System Enhancements:Identify and implement a minimum of 3 meaningful improvements annually to enhance CEO workflows or executive operations.
Critical Drivers:
•Audit and update the CEO’s calendar twice daily (by 9 AM and 4 PM).
•Conduct a 30-minute weekly planning session with the CEO every Friday by noon to align priorities for the coming week.
•Communication Oversight:
•Triage and prioritize CEO email and Slack messages 3x per day (morning, midday, end of day).
•Provide a summary of unresolved communications and flagged items by 5 PM every Friday.
•Meeting Preparation & Follow-Up:
•Distribute meeting agendas, slide decks, and materials 24 hours before each scheduled meeting.
•Capture and distribute meeting notes and action items within 1 business day post-meeting.
•Task & Project Tracking:
•Maintain a live status tracker for all CEO action items, updated daily by 5 PM.
•Present a comprehensive project/task status report during weekly check-ins.
•Draft detailed itineraries within 48 hours of trip confirmation.
•Verify and confirm all travel plans at least 7 days before departure; circulate the final itinerary 5 days before travel.
•Document & File Management:
•File and organize all CEO documents within 24 hours of receipt in shared drive systems (Google Drive, etc.).
•Conduct monthly audits to ensure files are current, secure, and easily retrievable.
•Board & Leadership Support:
•Prepare and distribute Board Report content and assist the CEO with board report execution at least 7 days before the due date.
•Log board feedback and action items within 48 hours post-meeting and track them to ensure execution.
•Identify inefficiencies and recommend one process improvement per quarter to the CEO.
•Implement approved improvements within 30 days.
•Act as the central point of contact for CEO-related queries, ensuring all internal communications are responded to within 48 hours.
•Attend one monthly leadership team meeting to stay aligned on company priorities and flag key updates for the CEO.

Must Have:
•Microsoft Office Expert (Word, PPT, Excel)
•Experience working in an autonomous position (ie able to manage themselves)
•Demonstrated ability to maintain strict confidentiality and exercise sound judgment with sensitive information
•Scheduling and calendar management experience, including ability to prioritize and manage complex, shifting priorities
•Superior written and verbal communication skills with experience drafting professional correspondence
