Job Overview:
The Executive Assistant to the CEO serves as the key administrative support for the Chief Executive Officer, facilitating the smooth operation of the executive office. This role requires a highly organized, detail-oriented, and proactive professional who can manage complex schedules, communicate effectively, and handle sensitive and confidential information with discretion. The Executive Assistant plays a pivotal role in ensuring that the CEO’s time is effectively managed, and that the CEO’s priorities are aligned with organizational goals.
This position also includes direct involvement with real estate development projects, supporting acquisition, entitlement, construction, and project management processes.

Responsibilities and Duties:
Executive Support:
•Manage and optimize the CEO’s calendar, including scheduling meetings, travel, and events.
•Prepare briefing materials, agendas, and reports for meetings with internal and external stakeholders.
•Act as a liaison between the CEO and senior executives, board members, employees, and external partners.
•Draft and review correspondence (emails, memos, letters) on behalf of the CEO.
•Attend meetings, take notes, and follow up on action items as necessary.
•Coordinate with legal, finance, and development teams on real estate initiatives, including meeting documentation and follow-ups.
Project Management:
•Assist in the coordination and execution of strategic initiatives and company projects.
•Provide support for key corporate events, including board meetings, executive retreats, and company-wide presentations.
•Collaborate with various departments to ensure the CEO’s initiatives are progressing in a timely manner.
•Track progress on real estate development timelines, budgets, and vendor coordination.
•Assist in managing due diligence and project documentation for land acquisition, permitting, and construction.
Communication & Relationship Management:
•Act as the primary point of contact between the CEO and senior leaders, staff, clients, investors, and stakeholders.
•Maintain positive, productive relationships with both internal and external parties.
•Prioritize and manage a high volume of incoming communications, flagging urgent matters to the CEO’s attention.
•Communicate directly with brokers, developers, consultants, and local government agencies regarding real estate projects.
Travel & Logistics:
•Organize domestic and international travel arrangements, including flight bookings, hotel accommodations, transportation, and itineraries.
•Ensure that the CEO is well-prepared for meetings and events by managing logistics and providing necessary travel documents and materials.
•Coordinate site visits for development properties and attend, when needed, to support CEO and document findings.
Administrative & Office Management:
•Oversee the day-to-day operations of the CEO’s office, including maintaining office supplies, equipment, and general office organization.
•Maintain a comprehensive filing system, both physical and digital, for easy retrieval of documents.
•Assist with the preparation of presentations, reports, and other documents for meetings and corporate events.
•Maintain organized records of contracts, site plans, permits, and other development-related documents.
Confidentiality & Discretion:
•Handle sensitive and confidential information with the utmost professionalism and discretion.
•Ensure compliance with corporate governance and confidentiality standards.
Ad-hoc Tasks:
•Provide support for various special projects and initiatives as directed by the CEO.
•Assist in personal tasks or needs of the CEO when appropriate (for example, family events or engagements).
Qualifications:
•5+ years of C-Suite Executive Assistant experience at Multimillion Dollar firm (required)
•Experience with real estate transactions, development, or construction projects (strongly preferred)
•Bachelor’s degree in business administration or related specialty (required)
•Ability to effectively and professionally draft written communication on behalf of the Owner of Chesapeake (required)
•Extremely well-versed with Microsoft Excel and PowerPoint (required)
•Ability to carry out tasks in an efficient manner with minimal direction
•Ability to anticipate the needs of executive
•Ability to interject, with respect, when appropriate
•Ability to multi-task, manage competing priorities, provide deliverables, and manage realistic expectations
•Ability to provide critical thinking and brainstorming
•Ability to handle confidential situations and information
•Maintain professionalism, confidentiality & decorum

Job Type: Full-time
Pay: $70,000.00 - $75,000.00 per year
