Job Summary
We are seeking a detail-oriented and proactive Executive Personal/ Office Assistant to join our team. The ideal candidate will possess strong organizational skills and a commitment to providing excellent support to our organization. This role is essential in ensuring the smooth operation of our company as as well as personal tasks. By managing clerical tasks, supporting office management, personal tasks (finance, household tasks, etc) and assisting with various administrative duties. Need experience with writing reports and reviewing documents. This combination of on site work at our CEO house, the office, on the road running errands, and some remotely WFH. Will be in the Wylie or DFW area as needed.
Responsibilities
•Perform general clerical duties including filing, data entry, and maintaining organized records. Including writing reports and reviewing documents.
•Manage incoming calls and out going calls in a professional manner.
•Assist with scheduling appointments and managing calendars for staff members.
•Support office management by ensuring supplies are stocked and equipment is maintained.
•Handle contacting vendors, contractors, and professional consultant to obtain their services for our company
•Maintain confidentiality of sensitive information while managing files and records.
•Utilize computer software for various administrative tasks, including word processing and spreadsheet management. Must be able to use on line file sharing software such as Dropbox, Google Drive, OneDrive
•Collaborate with team members to improve office processes and efficiency.
•Help with personal finance, household tasks and errands
•Will require to provide physical assistance in helping organize house or even vehicles
Requirements
•Proven experience in an office management or clerical role is preferred.
•Familiarity with office assistant or management staff
•Experience with writing and reading documents, including legal contracts
•Experience with ordering equipment and maintaining inventory records. Technical understanding of mechanical, electricial part would be helpful.
•Strong organizational skills with the ability to prioritize tasks effectively.
•Excellent time management skills to ensure deadlines are met consistently.
•Proficient in computer applications, including Microsoft Office Suite or similar software.
•Exceptional skills with a friendly demeanor.
•Ability to work independently as well as part of a team in a fast-paced environment.
•Needs drivers license to run errands
