The role:
The Events & Operations Coordinator role is a contract position reporting to the Manager, Administration, Governance and Events and will also work closely with other members of the operations team including the Membership Engagement and Outreach Manager, the Technology Enablement Manager and other members of the CRIN operations team while collaborating with various committees and functions across the organization.
Where your expertise will shine:
•Administration & Events Support: Provide administrative and logistical support for events, including virtual and in-person meetings, conferences, and networking events. This includes planning, scheduling, organizing, and managing event details, timelines, and metrics.
•Communication & Coordination: Monitor CRIN’s general email accounts, calendars, and support communications with internal and external stakeholders to ensure seamless coordination between committees, volunteers, and Operations team.
•Operations Support: Assist in maintaining operational workflows, such as file and records management to support meeting logistics, business technology tools (e.g., SharePoint, AI CoPilot, Zoom/Teams), and data entry/report generation. Support the operations team, including tracking action items, collection of performance metrics and assisting with report creation.
•Member Engagement: Support opportunities in collaboration with the CRIN Operations team for CRIN members to engage within the network, including outreach, administration, and event promotion. Work with committee leads to engage members on CRIN’s activities.
The right fit:
The ideal candidate is/has:
•A minimum of 5 years' experience in administration, operations, and event planning is required; experience in a non-profit or matrixed organization is beneficial.
•A post-secondary diploma/degree or equivalent experience.
•Ability to work independently, manage multiple priorities and meet deadlines in a fast-paced environment.
•The ideal candidate also thrives in a collaborative environment, working seamlessly with the CRIN team, committees, and stakeholders.
•Strong organizational, communication and interpersonal skills with attention to detail.
•Experience as a reliable Operations associate, managing member expectations and enhancing organizational effectiveness.
•Proficiency within the Microsoft Office suite and savviness in assessing, adopting and using relevant business and collaboration technologies to improve operational effectiveness (i.e., Teams, Zoom, SharePoint, Miro, etc.).
•Know-how to engage diverse interests and design and build products to meet client interests and needs.
•Aptitude to successfully manage multiple projects and priorities and deliver results to tight deadlines in a complex and dynamic environment, both independently and within a team.
•Proven ability to anticipate, assess, and develop solutions and improvements to workflow and business tools to meet objectives.
•Committed to excellent customer service; comfortable in a high-energy, fast paced environment with competing priorities.
Preference for:
•Experience in clean technology development, energy or other natural resource industries.
•Experience with membership-based organizations.
Bonus points:
•Graphic design experience
•Video editing experience
Where you’ll be working, your work schedule, and other meaningful information:
You will be expected to contribute to and agree upon working norms, including workdays and location, etc. The role will require a combination of remote work and work in an office environment located in downtown Calgary.
There may also be some irregular hours throughout the week including weekends (e.g., event-specific activities).
