Cleanwater1, Inc., through its three operating subsidiaries (collectively, “CW1” or the “Company”), is an industry leader in water related technologies and infrastructure, with a particular emphasis in the chemical feed and disinfection areas of water and wastewater treatment.
CW1 is seeking a Corporate Registration and Maintenance Specialist. This individual will manage all registrations, renewals and reporting required to keep CW1 compliant with local, state, and federal obligations within scope, including corporate and tax registrations and associated filings. These registrations will span all legal entities and will include, but are not limited to, Secretary of State filings, state Department of Revenue filings, and state unemployment insurance filings. Beyond managing the filings themselves, this individual would be responsible for monitoring a growing business and ensuring that registrations are proactively completed as CW1 expands its nexus profile across various states. This individual will support a vastly expanding sales tax registration profile, working proactively with CW1’s Finance Department to build systems and processes to ensure proper tax compliance in each applicable jurisdiction. This individual will also interact regularly with a number of other corporate departments, including Human Resources, Legal, Sales, Applications Engineering, and Accounting. The Corporate Registration and Maintenance Specialist is a full-time position that reports directly to the Chief Financial Officer of CW1. This position is based at CW1’s facility in Vineland, New Jersey, although a remote location would be considered for a highly qualified individual.
Essential Job Functions
•Understand the CW1 legal structure.
•Develop and maintain a working knowledge of the requirements of state laws regarding corporate, employment and tax registration criteria and ensure that necessary registrations and filings are timely and properly completed, including researching and analyzing statutes, regulations, judicial decisions, and other legal sources in coordination with the CW1 Legal Department.
•Develop and implement a system for tracking state and local filing deadlines and work with the relevant corporate departments to complete all necessary filings accurately and on time, including without limitation state franchise, sales and unemployment tax returns, statements of information and similar state-level reports.
•Develop a deep knowledge of the Company’s nexus in various jurisdictions by proactively reviewing sales transactions, office locations, employee locations, and other relevant business activities to ensure that proper registrations and filings are occurring.
•Identify and assist in implementing any changes to business information systems required to comply with state and local requirements.
•Ensure that any exit from an existing jurisdiction is properly executed from a corporate, employment, tax, and licensing regulatory perspective.
•Connect with customers to obtain and review sales tax exemption documents for accuracy and project-based application, prepare and furnish exemption certificates for materials purchases, ensure validity of same and implement feedback loop with the CW1 Finance Department to ensure proper treatment of each purchase and sale transaction (exempt/nonexempt).
•Work closely with external tax advisors to ensure state income and sales tax filings align with current business registrations.
•Prepare, organize, store, and retrieve all data required to support applicable duties, including updating data posted to SharePoint.
•Research and assist in resolving issues that arise; and proactively communicate issues with relevant parties, clearly stating the issues, facts, and resolutions as appropriate.
•Obtain local business licenses where required.
•In coordination with the CW1 Finance Department, prepare and file real and personal property tax returns and assist in protesting excessively assessed valuation notices.
•Submit all bills related to regulatory filings (e.g., franchise tax payments) to the CW1 Accounting Department for timely payment.
•Maintain and update corporate data sheets for each CW1 entity in coordination with the CW1 Legal Department.
•Coordinate responses and complete vendor registration and pre-qualification questionnaires and mandatory governmental surveys and questionnaires.
•In coordination with the CW1 Legal Department, maintain and update beneficial ownership reports required under the Federal Transparency Act.
•Develop and maintain a database of all of the Company’s current non-income tax registrations and recurring regulatory filings (including those registrations and filings managed by others in the Company such as, without limitation, environmental, EEO, OSHA, U.S. Department of Labor, State Fire Marshall, etc.) and establish and update an-online calendar displaying due dates and responsible party for all such matters).
•As needed, provide instruction and day-to-day supervision of temporary help in assisting with the above functions.
•Perform other related or similar duties as assigned.

•Ability to obtain and interpret data from existing Company systems and processes.
•Preferred Qualifications
•3+ years of corporate paralegal experience or similar experience with state-level regulatory compliance.
•Knowledge of and proficiency with state and local corporation and tax laws, and associated regulations.
•Associate or bachelor’s degree in paralegal studies or related field.

•Specific vision abilities required by this job include close vision and the ability to adjust focus.
•Ability to look at computer screen for much of the workday.
•Ability to lift up to 15 pounds.
Work Environment
•Approximately 5% Light Industrial/Warehouse - May be exposed to areas of high noise levels, hazardous propellants, chemicals and industrial facilities.
•Appropriate PPE and training will be provided for all conditions.
