Overview
We are seeking a highly organized and detail-oriented Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires excellent communication skills, proficiency in office management, and the ability to handle multiple responsibilities efficiently. Responsibilities
•Draft and process construction contracts to meet owner requirements. Distribute contracts for review, incorporate any changes to contract documents as necessary, contact insurance and bonding agencies to make sure Roche is compliant with terms of owner contract documents;
•Provides back-up support to Receptionist/Facilities Manager, as needed;
•Provide permanent electronic records for specific project documents;
•Submit monthly Builder’s Rick Reports with information from Project Managers;
•Liaison between Roche and Insurance and Surety Broker;
•Review annual bond and project insurance reports for changes;
•Participate in annual insurance renewal meeting;
•Reconciliation of end of project documentation; including project profiles, subcontractor logs, Certificate of Occupancy, etc.
•Submit permits for municipalities; update requestor on status, process payment to municipality when permit is approved;
•Distribute all inspection communication to Superintendent from requested municipality;
•Maintenance of New Employee / Inactive Employee’s in any owner required software, or distribution lists;
•Oversees office facilities and fleet;
•Maintain compliance with all owner required pre-qualification sites and accounts;
Requirements
•Must have a good command of the English language, including writing, grammar, punctuation and spelling;
•Knowledge and prior use of Microsoft Word & Excel, Adobe, Internet research; Viewpoint, Office Equipment, etc.;
•Knowledge of construction terminology, with a minimum five years, in a construction-related position;
•Experience with contracts and insurance, including associated terms
•Strong proficiency in office management practices and procedures.
•Exceptional attention to detail with strong proofreading skills.
•Ability to multitask effectively while maintaining a high standard of work quality.
•Strong interpersonal skills with the ability to communicate professionally with staff and clients alike.
