SUMMARY:Primary responsibilitiesinclude but are not limited to: answering phones, scheduling appointments, managing calendars, coordinating meetings, preparing documents and providing administrative support to various departments.
· Office Management: Manages all office activities, including maintaining office supplies, company apparel, coordinating meetings, distributing materials and general maintenance of the facility.
· Human Resources: Conducts on-site onboarding of new employees, maintains records and documents, assists with employee questions and communications. Deployment of tablet mobile systems to technicians.
· Payroll: Maintains all timesheet punches, time off requests and ensures proper recording in ERP system.
· Accounting and ERP System: Oversees work of Accounting Assistant, Inventory Control Specialist and Operations Assistant to ensure information is processed accurately and timely in the ERP system.
o Develop and deploy service repair job scheduling and job status.
o Support the sourcing and procurement for service repair jobs.
o Perform QC function, compile and submit QC data into tablet.
· Public Relations: Supervises relationship with the community and oversees advertising.
· Business Systems Process Management: Analyze current processes and alternatives to achieve efficiency. Develop SOP’s to support processes and procedures.
· Communication Support: Drafting emails, memos, letters, reports and vendor relationships.
· Document Management: Filing, copying, scanning, and organizing documents.
· Administrative Support: Administrative support to various departments. Drafting documents, preparing mailings, customer and employee communications, maintaining databases.
