Job Summary: The Administrative Specialist provides essential administrative and operational support to the finance department. This role is responsible for accurate data entry related to Accounts Receivable and Accounts Payable, the organization and maintenance of job files, management of the company’s fixed asset records, DOT compliance tracking and reporting, and assistance with a variety of special projects. The Administrative Specialist ensures the smooth execution of administrative processes while maintaining a high standard of accuracy, confidentiality, and professionalism.
Duties/Responsibilities:
•Perform data entry tasks for Accounts Receivable and Accounts Payable functions to ensure timely and accurate financial processing.
•Maintain and organize job files in accordance with company policy and audit requirements.
•Manage and track company fixed assets, including additions, disposals, and reconciliations, ensuring accurate reporting and compliance.
•Monitor and assist with DOT compliance processes, including driver qualification files, vehicle maintenance records, hours of service logs, and regulatory filings.
•Coordinate with internal departments to ensure compliance with federal and state DOT regulations.
•Assist the CFHRO and finance team with special projects as needed.
•Support document management and recordkeeping to maintain compliance with company and regulatory standards.
•Collaborate with internal departments to obtain and verify necessary documentation and approvals.
•Prepare reports and summaries related to administrative tasks, financial records, and DOT compliance as directed.
•Provide general administrative support including filing, scanning, and data compilation.
Required Skills/Abilities:

•Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and financial software applications.

Education and Experience:
•High school diploma or equivalent required; Associate’s degree in Business Administration, Accounting, or related field preferred.
•Minimum of 2 years of experience in administrative support, accounts payable/receivable, or related fields.
Physical Requirements:
•Prolonged periods of sitting at a desk and working on a computer.
•Ability to lift up to 15 pounds at times.
