The Administrative & Operations Assistant provides essential support to multiple divisions within Hough ensuring efficient office operations, effective communication, and timely completion of tasks. The ideal candidate will be organized, proactive, adaptable, and skilled in managing administrative duties in a fast-paced environment.
· Manage day-to-day office functions, including filing, scheduling, answering phones, and handling correspondence.
· Schedule meetings, appointments, and events, and provide reminders to relevant team members.
· Act as the point of contact for internal and external communications, screen calls, order taking, and respond to emails.
· Input data into spreadsheets and databases, maintain and update records, and create reports as needed, including all monthly sales reports, Daily P&L, and KPI tracking.
· Order, stock, and maintain an inventory of office & kitchenette supplies and equipment.
· Manage retail tenants regarding on-time deliverables such as rent, paperwork, and deposits.
· Assist with special projects, including research, data collection, and coordinating with team members.
· Work with customers & oil companies to cure and achieve high-level Mystery Shop scores at all of our locations. Submit all Co-Op opportunities with the oil companies.
· Maintain both digital and paper filing systems in an organized manner.
· Support in organizing company events, workshops, and meetings, including logistics and vendor coordination – including annual Hough golf outing & holiday party.
· Support the billing team by assisting with pricing, credit, and invoicing set-up and following up on any questions or issues.
· Be proactive throughout the organization and resolve issues before they may arise.
· Establish relationships with Hough customers and correspond with them regularly via phone and email to reinforce Hough’s relationship with our customers.
· Support the Sales Team and work in conjunction with them to deliver a high-level customer experience.
· Document and create SOPs for your job function.
· Communicate effectively both orally and in writing.
· Highly developed analytical skills, the ability to manage multiple activities & deliverables, and strong attention to detail.
· Work collaboratively with cross-functional teams. Teamwork is a must in this role.
Compensation: $55K plus bonuses & full benefits, including vacation, sick & personal days, health & dental insurance, 401(k) Profit Sharing Plan and 3% of compensation contributed by company. Summer Friday’s.
