Role
The Administrative Assistant will perform administrative office management duties and provide support to executives, management and staff with flexibility and foresight in a fast-paced evolving environment while maintaining confidence related to high-level systems and operations.
The Administrative Assistant will be based out of the Vancouver office and will report to the Office Manager.
Responsibilities
•Performs office tasks including maintaining records and performing some basic bookkeeping including preparation of expense reports and credit card expense claims.
•Perform purchasing function for Vancouver office departments.
•Monitor and order supplies for office and kitchen
•Maintain common areas of office.
•Greet visitors to the office and receive deliveries
•Assist with new employee onboarding and offboarding), set up of employee profiles, new employee announcements, emergency contact information, etc.
•Organize employee functions including informal and formal gatherings/meetings.
•Assist with maintaining and updating the intranet site.
•Provides administrative support and assistance as needed.
•Arrange travel and accommodation as needed.
•Cover absences and overflow for Office Manager and Investor Relations.
•Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
•Serve on social and safety initiatives and committees.
•Performs additional duties as assigned
Requirements
•Two (2) or more years of experience providing administrative support.
•Ability to present a professional image to visitors, vendors and board members.
•Excellent verbal and written communication skills.
•Excellent organizational skills and attention to detail.
•Excellent ability to multi-task and handle distractions and interruptions
•Excellent time management skills with a proven ability to meet deadlines.
•Ability to function well in a high-paced and at times stressful environment.
•Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
•Able to type minimum of 50 words per minute.
•Extremely proficient with Microsoft Office Suite or similar software and Sharepoint, with the willingness and ability to learn new or updated software.
Compensation and Benefits
•Compensation: CDN$55,000-$65,000 a year + annual bonus
