Tundra is excited to announce an opportunity for an Administrative Assistant, based in our Winnipeg office.
We are seeking a highly organized and proactive individual to manage and coordinate office operations and procedures. This role plays a key part in supporting the administrative functions across all departments, ensuring smooth, efficient, and effective organizational performance.
The ideal candidate is a motivated self-starter with a positive, “can-do” attitude and a strong willingness to learn. They should be capable of working independently while maintaining accountability and contributing meaningfully to the core functions and daily activities of the office.

REPORTS TO: Administrative Supervisor
WHAT YOU’LL BE DOING:
Front Office & Communication
•Manage general correspondence and inquiries, including phone calls, emails, and reception inbox.
•Sort and distribute incoming mail, faxes, and deliveries; prepare and send outgoing mail and packages.
Office Operations & Maintenance
•Maintain office security and general upkeep, including issuing/replacing pass cards and coordinating with building security.
•Submit service requests and ensure common areas are organized and tidy.
•Oversee photocopier maintenance, including basic troubleshooting, supply inventory, and cartridge returns.
Vendor & Inventory Management
•Maintain relationships with vendors, addressing pricing, service quality, special requests, and inventory changes.
•Monitor and replenish office, stationery, and kitchen supplies.
Employee Onboarding/Offboarding Support
•Assist with facility-related onboarding/offboarding tasks such as updating phone listings, preparing office spaces, and managing nameplates.
Meeting & Event Coordination
•Arrange food and beverages for meetings and training sessions.
•Support planning and coordination of corporate events and team-building activities, including venue research, vendor communication, contract coordination, and RSVP tracking.
•Participate in internal committees such as United Way and Wellness.
Financial & Administrative Support
•Verify and code administrative invoices; coordinate with departments and Accounts Payable for approvals.
•Provide coding assistance to other departments as needed.
Travel & Executive Support
•Coordinate travel arrangements for staff, liaising with travel agents and maintaining travel records.
•Support the Executive Assistant with tasks such as expense reporting, Visa reconciliation, calendar management, and ad hoc administrative duties.
•Provide general administrative support to various departments as assigned.
Other Duties
•Perform additional administrative tasks and responsibilities as required.
WHAT YOU NEED:
•High school diploma with Office Administration education or equivalent experience
•Minimum 1-3 years’ experience of related office administrative experience required.
•Intermediate experience with Microsoft Office suite program, particularly Excel, Word, PowerPoint and Outlook required.
