We are seeking a detail-oriented and proactive Administrative Assistant to provide general project and administrative support for various utility projects, primarily serving our client FirstEnergy Corp, a leading electric utility provider, along with other related clients. This role is essential to ensuring smooth project operations, supporting field survey teams, coordinating with vendors, and maintaining organized workflows.
Key Responsibilities Include
- Create, manage, and update schedules for field survey teams across multiple utility projects.
- Communicate effectively with vendors, contractors, and internal teams to coordinate project needs.
- Order and track supplies, equipment, and other project-related materials.
- Assist in preparing reports, documentation, and project updates for internal and client use.
- Maintain organized digital and physical filing systems for project records.
- Support the Project Manager with administrative tasks including meeting coordination, calendar management, and task tracking.
- Monitor project timelines and assist in identifying potential delays or resource needs.
- Perform general office duties such as data entry, document formatting, and correspondence.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong time management and organizational skills with the ability to prioritize tasks effectively.
- Excellent customer service and communication skills, both written and verbal.
- Self-motivated and able to work independently with minimal supervision.
- Ability to handle multiple tasks in a fast-paced environment.
- Experience in administrative support within engineering, utility, or project-based environments is a plus.
- Familiarity with utility industry operations or electric distribution projects.
- Experience using scheduling tools or project management software.
- Prior experience supporting field teams or coordinating logistics.
