Reporting to the Production Manager, the Administrative Assistant - VBU will assist production and operations in processing and maintaining the work order system and all office administration related functions.
Primary Duties•Verify production assembly sheets by ensuring that heat numbers are properly allocated on production work orders.
•Verify and review Production Heat Sheets ensuring that all Heat Numbers listed matched the parts used.
•Closing of production orders including matching with office folder and amalgamation of critical documents.
•Creation and maintenance of manufacturing production orders and files.
•Maintenance of manufacturing employee training files.
•Investigate and fix Production Heat Sheet discrepancies.
•Replenish and maintain inventory of office supplies and consumables.
•Support the Production team’s 5S Program by purchasing 5S Supplies, creation of labels, being a part of the audit team and the likes.
•Processing, maintenance, receiving and completion of farm-out purchase orders.
•Material issue on production orders as required.
•Verify and maintain daily production order bookings by shop floor personnel.
•Contact outside vendors for the maintenance of office equipment.
•Assist with other manufacturing and operations clerical functions.
•Assist Sales department in processing, maintaining sales orders and related functions.
•Other duties assigned by Operations, Production, purchasing and inside sales personnel.
Preferred Applicants Will Possess The Following Qualifications
•3-5 years' experience in a fast-paced office environment preferred.
•Previous data entry experience.
•Proficient and good working knowledge of MS Office (Word, Access, Excel, Outlook), SAP experience.
•Strong communication (oral and written), organizational, time management, interpersonal, and problem-solving skills.
•Attention to detail and accuracy.
•Self-motivated and able to work under general supervision.
