POSITION OVERVIEW

The Administrative Assistant provides essential support to ensure efficient operation of the office. This role involves managing administrative tasks, coordinating communication, and assisting team members with various projects. The ideal candidate will be organized, detail-oriented, and possess excellent communication skills to contribute to a positive work environment. ESSENTIAL JOB FUNCTIONS

- Help price and order equipment for Short Truck Fuel Division

- Bulk Plant Daily Pricing Input

- Set up customer pricing notifications

- Monthly Inventory Reconciliation Recaps

- Help Maintain Customer Account Setups with Tank Lease agreements

- Data Integrity Maintenance

- Follow up with Customer AR Reports, some account research

- Complete Monthly Bulk Plant Checklists and follow up with any tasks

- Follow up with LMS Training completion

- Marketing/promotions support and help manage customer communications

- Backup support for Short Truck Fuels Billing team

- Handle Bulk Plant recognitions

- Help prepare Meeting Agendas for Monthly/Quarterly Bulk Plant Manager Meetings

- Manage Christmas Gift program for Division

- Schedule and communicate with customers about deliveries and services.

- Invoice posting/billing.

- Assist customers with invoicing and order discrepancies.

- Communicate with sales team, warehouse, and dispatch.

- Handle walk-in customers if needed.

- Oversee national account order fulfillment and billing.

- Assist with continuous improvement efforts.

- Assist with accounts receivable as needed.

- Make phone calls and resend missed invoices to customers.

- Assist Operations team as needed.


EDUCATION & QUALIFICATIONS:

- Minimum 3 years’ experience in administrative duties

- Excellent communication and organizational skills

- Possess advanced analytical skills

- Experienced computer skills working in Excel

- Commitment to Excellence and holding team to highest standards

- Team player that enjoys collaborating with coworkers

- Advanced Microsoft Excel skills, proficiency with computers. Experience with other financial systems.
