The Administrative Assistant plays a critical role in keeping the office and customer-facing
operations running smoothly. This person will provide direct administrative support to the
Vice President, manage internal and external communications, assist with lead nurturing
and outreach, and help ensure that our sales pipeline is active and well-organized. The ideal
candidate is proactive, detail-oriented, a self-starter with strong communication skills, and
Answer, screen, and route incoming phone calls; take accurate messages
Manage general office duties: mail, filing (electronic and paper), supply inventory
Maintain and update the CRM system (input leads, follow-up activities, status tracking)
Follow up with prospective and existing customers (calls, emails)
Outreaching to generate new leads (cold calls, email campaigns, referrals)
Nurture leads through the sales pipeline (reminders, touchpoints, status updates)
Assist the Vice President with calendar management, scheduling meetings, and travel
Prepare and proofread correspondence, reports, proposals, and documents
Coordinate internal meetings: reserve rooms, send agendas, take meeting notes
Maintain electronic and hard-copy files, documents, and records
Assist in project coordination: liaise between sales, operations, and field teams
Monitor deadlines and help ensure timely follow-ups
Occasionally assist with invoicing, expense reporting, and basic bookkeeping support
Handle customer service requests and issues, escalating as necessary
Perform ad hoc administrative tasks and special projects as assigned
High school diploma or equivalent (some college preferred)
1–3 years of experience in administrative, customer service, or sales-support roles
Strong proficiency with Microsoft Office (Excel, Word, Outlook)
Experience using CRM systems (e.g. Salesforce, HubSpot, or similar)
Strong organizational skills, attention to detail, and ability to multitask
Ability to work independently and take initiative
Experience in the solar, construction, energy, or technical service industry
Basic understanding of solar terminology, permitting, or utility processes
Experience with lead generation tools or email marketing platforms
Familiarity with bookkeeping software (QuickBooks or similar)
Prior experience supporting an executive or senior leadership

Hours: 9:00 a.m. – 6:00 p.m. (Monday – Friday)
