Our work includes corporate boardrooms, conference centers, command/ops centers, and federal courtrooms. We work with multiple governmental agencies including the DoJ, DoD, and private sector. Our in-house sales, installation, and service team has overseen the installation of AV systems in hundreds of courtrooms in the United States and its territories.

Mission
Quantum Technologies Inc. is seeking a qualified candidate to perform in the role of Administrative Assistant. The Administrative Assistant handles many administrative duties but is primarily responsible for managing all aspects of travel arrangements for company employees, ensuring that all business-related travel needs are met efficiently and cost-effectively.
Responsibilities:
+ Manage all aspects of travel arrangements for company employees, ensuring that all business-related travel needs are met efficiently and cost-effectively
+ This role involves planning, booking, and coordinating travel, including flights, lodging accommodations, and ground transportation, in addition to managing travel documents and adhering to budget constraints
+ Negotiate contracts with travel service providers, such as hotels and airlines, to secure the best rates and amenities
+ Handle changes or cancellations to travel arrangements, resolving any issues that arise before or during the trip
+ Develop and implement travel policies and procedures to optimize cost-efficiency and ensure traveler satisfaction
+ Analyze travel expenses and reports to identify trends and opportunities for cost savings
•Expense Report Oversight
+ Track, compile, and process employee expense reports in a timely and accurate manner; ensure coding to correct project numbers.
•Calendar Management & Scheduling
+ Utilize Microsoft Outlook and Excel to manage schedules, deadlines, and reminders for the department.
•Data Integrity & Compliance
+ Ensure accuracy in documentation, especially when handling sensitive employee data such as travel IDs and licensing information.
•Work closely with and support the Group Vice President and other Project Managers in the bidding of new jobs.
•Responsible for on-time assembly, mailing, and filing of contract deliverables.
•Maintain forms and databases related to the upkeep of contract information, warranty service information, etc.
•Communicate with customers as needed.
•Coordinating installation schedules for audio and video systems technicians.
•Plan and coordinate travel arrangements for technicians for offsite work.
•Establish and maintain relationships with travel vendors, negotiate rates, etc.
•Serves as the company liaison for corporate newsletter.
•All other administrative duties as assigned.
Requirements:
•High School diploma, GED or equivalent. College degree is desired. Pertinent work experience may be accepted in lieu of degree.
•2 to 3 years of administrative experience in a professional setting.
•Experience planning, coordinating, and booking travel arrangements for business personnel.
•Experience working with travel vendors, negotiating business travel rates, etc.
•Proficiency with Microsoft Office Suite (Word, Excel) and willingness to learn new software.
•Must have the ability to create schedules and anticipate deadlines.
•Must have exceptional attention to detail and multitasking abilities.
•Must have pleasant phone demeanor with an ability to interface with customers.
•Must have exceptional organization skills with the ability to prioritize and handle changing needs, customer requests, etc.
•Must show the initiative to retrieve necessary information from project managers and engineers as needed.
•Must be able to clearly communicate and interface with other departments.
