Position Overview:
The Administrative Office Assistant is a full time, non-exempt position This position provides support to the Managing Partners, and assists other department heads as needed in many tasks related to the company's business.
Essential Duties and Responsibilities:
•Organize and schedule conferences, meetings, appointments, and travel arrangements.
•Create and edit documents, reports, and presentations.
•Maintain files and record, both physical and digital.
•Assist with special projects and initiatives.
•Assist in the preparation of excel documents from templates adjusting on case-by-case basis and creating financial reports for analysis as needed.
•Ability to understand and analyze AP and AR transactions.
•Organizing and maintaining records: Keeping office and employee documents organized, filing, and archiving.
•Correspond with vendors and respond to inquiries.
•Communicate with other departments to obtain information as needed.
•Protects organization’s value by keeping information confidential.
•Carry out regular clerical functions which involve faxing, filing, copying, and emailing.
•Performs other related duties as required.
Qualifications for Accounting Coordinator:
•Bilingual English/Spanish a plus.
•Possess a working knowledge of office duties, preferably in a construction environment.
•Must possess strong time management skills and attention to detail.
•Maintain strict confidentiality of company information at all times, inside and outside of workplace.
•Strong data entry skills; Good working knowledge of Microsoft Office applications, specifically Excel.
•Exceptional multitasking and organizational skills.
•Excellent interpersonal skills and problem solving ability.
•Physically able to work seated in front of a computer for long hours at a time.
Education and Experience:
Any combination of education and experience that provides the knowledge and abilities listed qualifies.
•High school diploma required; Associate degree in business or accounting preferred
•3 – 5 years of general office experience
•Experience with Quick Books a plus
Work Hours: The normal work hours for this position are Monday – Friday, 8:00am – 5:00pm at the CK Contractors and Development, LLC office.
