Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Service Manager/Safety Officer in various administrative tasks. Liaison to insurance company for property damage and accidental release incidents. The ideal candidate will possess strong clerical skills and be proficient in managing office operations, customer service, and project coordination. This role is essential for maintaining efficient workflow and providing excellent support to the Service Department Manager/Safety Officer.
Responsibilities
•Coordinates environmental incidents with the Safety Officer to ensure detailed and timely reporting to the DEP according to their guidelines.
•Assist insurance representatives with answering questions providing timely resolution to concerns while maintaining a high level of professionalism.
•Building sustainable relationships and trust with insurance representatives through open and interactive communication.
•Coordinate Zoom meetings as necessary.
•Coordinate special activities, functions and training.
•Complete and submit all warranty documents.
•Communicating with all applicable company personnel in a timely manner, ensuring that concerns are addressed and properly communicated.
Requirements
•Proven experience in an administrative role or similar capacity.
•Strong organizational skills with the ability to prioritize tasks effectively.
•Proficiency in using office software, including Microsoft Office Suite, Microsoft 365, Sage Intact and Cargas software.
•Excellent verbal and written communication skills to interact professionally with clients and colleagues.
•Ability to work independently as well as part of a team in a fast-paced environment.
•Detail-oriented mindset with a commitment to accuracy in all tasks performed.
