Job Overview

Commercial Interior Solutions Construction is seeking a highly organized and detail-oriented individual to join our team as an Admin specializing in Bookkeeping, Accounts Receivable, Accounts Payable, and Payroll. This is a full-time, in-office role where you'll play a critical part in ensuring financial accuracy, maintaining vendor and project records, processing payroll, and keeping our construction projects running smoothly from an administrative standpoint. We are looking for someone with specific accounting skills and construction experience, and we're willing to wait for the right fit.

Key Responsibilities

•

Maintain detailed project job costing including tracking materials, labor, and overhead.

•

Manage accounts payable and accounts receivable functions.

•

Perform weekly payroll for up to 20 employees and review timesheets and labor allocations.

•

Conduct AIA billing and support cash flow based on project progress.

•

Handle quarterly filings (Sales Tax, Workers' Comp) and generate W-2s and 1099s.

•

Reconcile bank and credit card statements; perform monthly/annual closings and project closeouts.

•

Maintain accurate general ledger entries and organize financial records.

•

Support project managers with client billing and purchase order administration.

•

Ensure vendor compliance by collecting lien waivers and processing pay applications.

•

Manage office supply inventory and general administrative duties.

•

Maintain an organized document filing and storage system.

•

Serve as company Notary for required documents.

•

Uphold adherence to internal finance/admin processes and policies.

Required Qualifications

•

1-3 years of professional experience in accounting, financial reporting, and payroll.

•

Proficiency in QuickBooks Online and Microsoft Office.

•

Solid understanding of general ledger, AP/AR, journal entries, account reconciliation, and payroll processing.

•

Familiarity with construction job costing and IRS tax regulations relevant to construction.

•

High attention to detail, strong organizational and reasoning abilities.

•

Advanced QuickBooks Online knowledge required.

•

Must be a licensed Notary (or willing to obtain shortly after hire).

•

Must have a valid driver's license.

Preferred Qualifications

•

Construction industry experience preferred.

•

A high school diploma or equivalent (associate degree or higher preferred).

•

Being bilingual (English/Spanish) is a plus.
