Job Description WGL - Fleet Specialist

Washington Gas has an immediate opening for a Fleet Specialist to perform fleet management-related accounting support functions, coordinates vehicle registration and licensing, maintains vehicle records to assure accuracy of assets belonging to Departments, Fleet budget, and providing reports from the Fleet Management Information System (FMIS) and fuel system.

You Will:

Updates computerized transportation system daily for the purpose of entering new vehicles into service, updating tag renewal/expiration dates, taking retired vehicles out of service, changing vehicle assignments (using department, maintenance locations, driver, etc.), keeping vehicle PM service schedules up-to-date and running reports as assigned and/or requested.
Gathers information necessary to produce external reports for use by the Sr. Specialist and/or Manager.
Prepares, processes and secures registrations, tags and licenses for all Company vehicles and equipment. Included in this category is the acquisition of all city and county registrations and permits in Virginia.
Assists with fee schedules, prepares check requests and uses WG Pcard for payments of all vehicles permitting.
Monitors, updates, and troubleshoots problems with fuel system. Runs fuel reports as assigned and/or requested.
Requests and assigns new fuel cards for fleet, as needed, and assigns fuel PIN’s, disables retired/terminated employee PIN’s, etc.
Prepares and processes improvement and retirement riders, transfers of equipment and completion notices.
Insure timely payment of new vehicle invoices and processes payments for retired vehicle sales within two days of receipt. Maintain in-service and out-of-service vehicle logs and vehicle number logs.
Prepare and processes operational invoices through EProcurement, while ensuring accuracy of process numbers and following-up on payment.
Assists WG employees with Geotab NFC stickers (new/replacements). Utilizes the FMIS (GeoTab) to add/update vehicle descriptions, employee profiles etc.
Assists Sr. Specialist, Garage Supervisors, and Manager Fleet as needed


You Have:

Minimum of 3 years’ experience working in Fleet Management or a related department and/or agency that administers registration and licensing.
High School diploma / GED required
Bachelor’s degree is preferred
Experience with Fleet databases (Geotab, Drivecam, Fleetwave, etc.) and/or external business partners such as Department of Motor vehicles, Fairfax County, and Maryland Motor vehicles.
Administrative support/clerical experience
Knowledge of vehicle insurance and title/registration
Ability to travel between Washington Gas’ Fleet locations within the DMV area

We offer a competitive salary range of $62,000 to $90,500 per year, commensurate with experience, education, and skills. In addition, we provide a comprehensive benefits package including health insurance, retirement plans, and paid time off.
