Position Summary
The Fleet Manager plays a critical role in the construction industry by ensuring that construction vehicles, heavy equipment, and machinery are properly maintained, efficiently dispatched, and available when and where they are needed on job sites. This role requires strong organizational and problem-solving skills, along with the ability to make quick, informed decisions in a fast-paced environment. Key responsibilities include managing equipment schedules, overseeing preventive maintenance and repairs, coordinating with project managers, mechanics, and operators, and ensuring compliance with safety and environmental regulations. The Fleet Manager is also responsible for tracking equipment usage and costs, minimizing downtime, optimizing logistics across multiple sites, and contributing to budgeting and procurement decisions - including evaluating and acquiring new or leased equipment. A background in construction operations, equipment management, or logistics is highly beneficial, and many in this role hold degrees in Construction Management, Logistics, or a related field. Essential Duties and Responsibilities
Fleet Operations Management
•Manages a fleet of vehicles such as trucks, cars, equipment
•Manages vehicle acquisition, maintenance, and disposal
•Understands equipment specifications and capacities
•Ensures vehicles and equipment are maintained and serviced regularly and schedules maintenance and repairs for the fleet
•Maintains detailed records of vehicle services and inspections
•Oversees inventory for trucks, equipment, and tool controls
•Documents relevant fleet details and identifies and resolves operational bottlenecks
•Creates a fleet Capex and operational budget
•Evaluates fuel consumption and cost
•Utilizes GPS systems to monitor drivers and track vehicles
•Monitors and tracks vehicle usage to optimize fleet performance
•Analyzes data to improve fleet efficiency and reduce costs
•Develops and implements policies and procedures for fleet operation
•Negotiates and manages contracts with suppliers and vendors
Regulatory Compliance & Safety
•Ensures compliance with regulatory and safety standards
•Understands CDL policy and procedures
•Oversees drivers’ and operators’ safety and performance
•Trains drivers on risk management protocols, safety standards, and more
Driver Management
•Monitors, corrects, and improves driving behaviors and operations
•Mentors, coaches, and rewards drivers
•Assists in the recruitment, discipline, and termination of drivers
•Evaluates drivers’ performances
•Tracks driver attendance, health, and other statuses
•Ensures drivers’ adherence to applicable transport regulations (e.g., Hours of Service compliance)
•Provides route and operations information and technologies
•Maintains constant communication with drivers
•Oversees the training and development of fleet personnel
•Partners with HR in handling drivers’ paperwork
Reporting & Communication with Upper Management
•Fleet’s performance and expenses
•Costs of fleet operations
•Budgets and major purchases
•Issues and bottlenecks detected in fleet operations
•Plans and sets fleet-level targets
