Position Overview

Dorsey has an opening for a Warranty Administrator in Elba, Alabama. We are seeking a detail-oriented and organized Warranty Administrator to join our team. The successful candidate will be responsible for managing warranty claims, coordinating with customers and vendors, and ensuring compliance with warranty policies and procedures. This role requires strong analytical skills, excellent communication abilities, and a commitment to providing exceptional customer service.

Duties and Responsibilities

- Claims Processing and Management

- Process and review warranty claims for accuracy and completeness

Parts and Inventory Management

- Tracks warranty parts by tagging them with the repair order number, date of replacement, and date on which part may be disposed

- Issue material return authorizations and process customer returns

- Coordinate with vendors or others to provide materials and documentation necessary for warranty repairs and/or reimbursements

Customer and Vendor Coordination

- Serve as primary point of contact for warranty-related inquiries

- Arrange with customers for the repair or replacement of defective equipment under warranty

- Communicate with customers and others to ensure items or units are delivered

- Collaborate with service technicians and repair facilities

- Communicate warranty decisions and requirements to stakeholders

- Resolve disputes and escalated warranty issues

Monitoring and Reporting

- Monitor and review in-process claims to ensure claims are being addressed and resolved

- Create warranty reports documenting and tracking warranty failures, including reports for warranty review meetings

- Maintain comprehensive warranty databases and filing systems

- Prepare regular reports on warranty costs, trends, and performance metrics

- Audit warranty claims for accuracy and potential fraud

Compliance

- Ensure compliance with federal, state, and manufacturer warranty regulations

Experience Needed

- High school diploma or equivalent required; Associate's or Bachelor's degree preferred

- 2+ years of experience in warranty administration, claims processing, or related field

- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook)

- Experience with database management and warranty management systems

- Excellent written and verbal communication skills

- Strong attention to detail and accuracy

- Ability to work independently and manage multiple priorities

Preferred Qualifications

- Experience in automotive, manufacturing, or equipment industries

- Knowledge of Alabama consumer protection laws

- Familiarity with SAP, Oracle, or similar enterprise software

- Certified Warranty Professional (CWP) certification or willingness to obtain

- Bilingual capabilities (English/Spanish) preferred

- Processes warranty claims on a timely basis for each franchise or distributor

- Ensure claims are processed within established timeframes and company guidelines

- Receive customer warranty claim requests from service and/or parts departments

- Document, process, and file warranty claims

- Review and/or log incoming/outgoing claims and determine if warranty action is required

- Verifies criteria required by factory or distributor
